Job Title : Band 3 Administration Officer
Location : Belfast BT14
Duration : Temporary
Rate : 11.11 p/h
Hours : 37.5 hpw

Will be working in the Central Booking Office but should be flexible to be able to move as the service requires to other sites within Belfast.

This will be a full time post hours to be discussed depending on the needs of the service, however we will also consider part time

ADMINISTRATION
- Provide a comprehensive daily Administrative service at all times.
- Ensure files, documents and paperwork are prepared in a timely and efficient manner.
- Undertake training when required.
- Arrange clinics and send out appointments, update records and maintain filing system.
- Maintain Trust databases on a daily basis.
- Typing of correspondence, minutes, letters, memos and confidential reports.
- Deal with internal and external mail in a timely and efficient manner.
- Collect and collate statistical information as and when required.
- Use of fax machine, photocopiers and shredders.
- Liaise with G.P practices and other Health Care Professionals.

COMMUNICATION
- Make and receive telephone calls and take appropriate action.
- Liaise with other disciplines, outside agencies and departments in a helpful and professional manner to assist in the provision of the service.
- Circulate information and ensure responses are received by agreed deadlines.

CUSTOMER SERVICE
- Receive telephone calls, enquiries and co-ordinate information in an efficient, courteous and friendly manner.
- Ensure quality standards are adhered to in all aspects of this employment.
- Promote a good image of the organisation.

INFORMATION TECHNOLOGY
- Make full use if the I.T. systems available to provide work of a consistently high standard.
- Responsible for maintaining databases.
- Perform data entry as required.

Essential Criteria

1. 4 GCSE’s grade A - C including English Language or equivalent qualifications
OR
NVQ Level 2 in Administration and 1 years clerical experience
OR
2 Years clerical experience.

2. OCR Stage 2 Text Processing (Part 1) or Word-processing/Typing (Part 2) or equivalent qualifications
OR
Have evidence of 1 year’s Typing or Word-processing experience and can demonstrate a capable level of ability.

3. The ability to work on own initiative.

4. The ability to work under pressure.

5. The ability to organise and prioritise workload.

6. Good attendance record.

Desirable Criteria

1. Ability to communicate effectively both orally and in writing.

2. Maturity and self-confidence to form effective team working
relationships.
