Support the Loughborough site, helping it to run smoothly and efficiently

A day in the Life
- Provide support and assistance to the Site Services Manager, maintenance, and facilities team, collating, prioritising and allocating work requests, identifying anything urgent with a safety or business impact.
- Maintaining records, supplier orders:

- Arranging supplier visits
- Coordinating visits with site service team and other departments
- Providing and maintaining records of inductions
- Support Site Lead’s initiatives for promoting wellbeing and workplace environment improvements:

- Leading and/or organising initiatives
- Procurement for Site Service team, and Site Lead
- Sourcing products
- Product identification
- Reconciling orders
- Procurement for operations team for non stock items
- Supporting Site Services Manager in audit preparation and regulatory compliance:

- Maintaining records and information sources
- Familiarity with ISO9001 and ISO 14001 requirements
- Be responsible for post room daily activities with respect to printing invoices and other financial documents, and their subsequent mailing. Postage of parcels via Royal Mail or carrier
- Dealing with general parcels
- Manage Royal Mail Account
- Assist the Site Services Manager in cost reduction measures.
- Be first point of contact for I-office space booking software and supporting end users with this.
- Car park management and parking permit issuing.
- I-Office super user and helpdesk
- Maintaining first aid team records and organizing training and provision of first aid supplies.
- Support Reception team during busy times, routine cover and holidays
- Receptionist duties including dealing with visitors, phones calls, helping with meeting room issues
- Role during site emergencies including first aid callout, fire alarm roll calls
- Keep staff distribution lists and door access profiles up to date.

**Education**

PC literate, with good English and Mathematics skills

**Experience**

Ability to operate in an environment with competing demands and manage multiple priorities

**Knowledge, Skills, Abilities**
- Self motivated with good organizational skills
- Positive attitude
- Flexibility to adapt to a broad scope of work
- Able to prioritise workload

**Physical Requirements / Work Environment**

Role requires regular interactions with staff, and activity across the entire site, in both office and warehouse
