At One Stop we offer a flexible working pattern that will support us to connect more in person, whilst continuing to provide the flexibility that we know you value and maintain the benefits we have experienced from blended working. All colleagues will be expected to spend at least two days each week working in the office and should expect to come together more than this on a regular basis, as needed, on any given week, this will be driven by role, business priorities, workload requirements, or to enable us to work more effectively together. You will be responsible for
- I conduct all people related administration tasks including, but not restricted to, letters, toolkits, support documents, reporting, communications, colleague queries, invoices and the calculation of colleague entitlements.
- I ensure our colleagues are supported and receive correspondence in a timely manner.
- I ensure the accuracy and security of colleague data, including updating the payroll and HR system and generate people related reports.
- I work closely with the payroll team to ensure, where required, the relevant documents are provided, and systems updated to ensure the accuracy of colleague pay (for example Maternity/ Paternity / Adoption etc)
- I support and assist colleagues in any people related matters whilst encouraging a culture of self-service.
- I support the lead people associate to ensure our policies remain up to date and are uploaded onto Colleague help.
- I provide accurate and timely people data and reporting when required to support the wider people team and business.
- I look for opportunities to simplify the work, driving efficiency and output.
- I ensure GDPR compliance in everything I do.
- I support the Lead people associate to ensure the delivery of small change projects (such as TUPE or Store disposals), or core people cycle activities (such as pay review letters), are communicated, supportive packs are ready, and any calculations or letters are accurate for the colleagues.
- I support the wider people team with the documentation to support the deployment of new or ongoing people initiatives.
- I update and maintain the blueprints for any deployment or change materials and communications.
**Skills Needed**
- Competent administrative skills
- Accurate data entry
- Attention to detail
- The ability to prioritise
- The ability to manage time effectively
- Basic to advanced abilities in Word/Excel/Powerpoint
**Experience relevant for this job**
- Previous Administrative experience preferred
- Ideally have experience working within a People or HR team
