An opportunity has arisen for an enthusiastic person to join our friendly Pre-Op Assessment Department based at Thorpe house at Kettering General Hospital.

Pre-op Assessment opening hours are 08.00-18.00 Monday - Friday, the working hours for this role are Monday
- Friday 8-4

The Pre-Operative Department is a key element in providing a high-quality service to patients and in achieving agreed standards within the trust. We are looking for a motivated and resilient person to join our established team.

To communicate with staff of all levels.

Deal with routine information/enquiries in a professional manner, using tact and diplomacy where there are barriers to understanding.

Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate.

Communicate changes to clinics and appointments to patients as instructed, often at short notice.

To be professional and always maintain confidentiality and discretion and always comply with the terms of the Data Protection Act 2018 and local Trust policies.

Understands and follows the administrative input required to support the patient flow from the time the patient is allocated a pre-assessment appointment.

Coordinates all administrative processes for each patient’s pathway to ensure it is managed smoothly and within agreed time frames.

Ensure all patient demographics and contact details are kept up to date on CareFlow EPR.

To ensure the timely production / availability of clinical prep and co-ordinate across the remote working sites.

Ensure clinic lists are effectively utilised in discussion with the appropriate booking team and manager and escalate any cancelled/vacant appointment slots.

Attend and participate in meetings relevant to the role and take minutes as required.

Process confidential patient-sensitive documentation to and from patients, other healthcare professionals and external agencies.

Deal with patient concerns/complaints as appropriate, immediately escalating where necessary to the appropriate manager for prompt action.

Maintain and manage the filing and access to documents, reports and folders in the department shared drive.

Check the Pre-Assessment mailbox daily to keep up to date with departmental and Trust wide news and information and escalate where necessary to the clinical team.

Co-ordinate Healthroster and clinical staffing rosters and escalate any issues where necessary.

Be responsible for the accurate entry of data to computerised databases, using all computer systems relevant to the role.

To actively participate in identifying where processes could be improved and as a team member, implementing any new processes or procedures.

To ensure all relevant notes and documents are collated and stored as per the correct process.

Provide reciprocal cover for Administration Team during annual leave and sickness absence.

Attend training courses as required to support personal development and the needs of the service.

Assist in training of new members of the administrative support team.

Work closely with the Senior Sister and the clinical team to develop processes to enable KGH Pre-Assessment Department to contribute data to local & national audits.

Create databases to collect and monitor information to assist with the collection and provision of statistical data as required and the ability to extract, manipulate, analyse complex data sets and communicate them in an easy-to-understand manner.

Ensure a high standard of data quality is maintained, supporting the team with audits and data validation as required.

Co-operate in the introduction of new technology and new working practices to ensure the smooth running of the department.

Maintain, order and/or receipt stationery and essential stock items as required, in line with Trust policies.
