**Job Title**: Ward Administrator (Bank) Responsible to: Ward Manager Accountable to: Head of Clinical Services JOB PURPOSE To provide a high-quality administrative support for the Ward where quality, respect, caring and compassion are the core of practice. The Administrator will carry out delegated work in accordance with the vocational competencies detailed within the national qualifications framework and also in line with local policies and guidelines To be responsible for the general, clerical, administrative duties of the Ward department. Duties will be assigned by and carried out under the direct or indirect supervision of a Registered Nurse The principle duties of this job description should only be undertaken after a training assessment and competency programme has been undertaken in relation to the task PRINCIPLE DUTIES To advise and assist patients and visitors to the Hospital and direct them, when necessary, to the appropriate department in a caring, approachable and pleasant manner. To transfer incoming calls to the appropriate department in an efficient and effective manner.

To be responsible for ensuring all relevant enquiries referring to the Ward department are handled efficiently and effectively, liaising with patients, Consultants and other relevant hospital staff. To accept and process bookings, including patient recall database. To assist consultants and nursing staff in the setting up and organising of Theatre Lists, duties to include filing, preparing lists, referral/discharge letters and retrieval & preparation of patient notes. Acting as administration assistant to the Ward Manager.

To use the Compucare system in the preparation of paperwork for the departments, identifying, confirming and rectifying information as required. Liaise with patient bookings departments regarding admission and discharge of patients. Maintaining necessary records and statistics and ensuring the filing system is up to date. Undertaking typing and clerical functions.

Participate in departmental meetings. Participate in the maintenance of a clean, tidy and healthy environment. Participate in stock maintenance of the Ward areas. GENERAL In addition to the key job responsibilities detailed in this job description all employees at St Hughs Hospital are expected to comply with the following standards: Infection Control To maintain a clean, safe environment, ensuring adherence to the Hospitals standards of cleanliness, hygiene and infection control.

Health & Safety To take reasonable care to prevent injury to themselves or others who may be affected by their acts or omissions. To co-operate fully in discharging HMT policies and procedures with regard to health and safety matters. To immediately report to their manager any shortcomings in health and safety procedures and practice. To report any accidents or dangerous incidents to their immediate manager and safety representative as early as possible and submit a completed accident / incident form and complete a Datix To use protective clothing and equipment where provided.

Whilst the aim of the hospital is to promote a co-operative and constructive view of health and safety concerns in the organisation, all staff must be aware that a wilful or irresponsible disregard for safety matters may give rise to disciplinary proceedings. Governance To actively participate in governance activities to ensure that the highest standards of care and business conduct are achieved. General Policies, Procedures and Practices To comply with all HMT and Hospital policies, procedures and practices and to be responsible for keeping up to date with any changes to these.

Freedom to Act The post holder will be accountable for their own actions, using own initiative, acting autonomously within their designated area but working within HMT policies and procedures.
