**Role: Personal Assistant to Service Director**

Connect2Luton are excited to recruit a Personal Assistant to Service Director on behalf of Luton Borough Council within their Children, Families and Education department.

**Main purpose of position**:
To provide effective secretarial and administrative support to the Service Director and undertake specific support tasks as required.

**As aPersonal Assistant, youwill be responsible to**:

- Draft and originate correspondence, memoranda and reports (including Committee reports) on behalf of the Director, from rough drafts or following broad guidelines. Exercise personal judgement in ensuring that written communications are accurate, unambiguousand fluent
- Collect, analyse and interpret statistical and other management information, manipulating and presenting data in a comprehensive format. Operate within guidelines as set by the Director
- Receive and filter incoming telephone calls for the Director from a wide range of sources including senior management, elected members, VIPs, other statutory agencies, and the general public. Exercise judgement in the prioritisation of calls, dealing withmatters within own remit and/or referring calls as necessary to ensure continuity. Initiate own calls where necessary exercising tact, discretion, and courtesy
- Attend, participate in and minute meetings, both internal and external including senior management teams if required. Provide administrative support to member processes (e.g. Executive and Scrutiny) including co-ordination of agenda as necessary
- Maintain records, files and new and existing administrative systems and procedures as necessary to the effective provision of the Director's secretarial service. Files may be of a personal or sensitive nature
- Under direction of the Director, provide administrative and organisationalsupport to ad-hoc and on-going projects and other defined tasks

**Skills and Experience**
- Experience of a secretarial support role to senior management
- Experience of a Local Authority environment
- Effective and credible communicator, able to deal with a wide range of people in a courteous but assertive manner
- Able to produce clear, unambiguous understandable and grammatically correct documents
- Competent in use of word-processing/spreadsheets/E-mail packages
- Work closely to organisational priorities and deadlines - able to progress and facilitate matters
- Able to work on own initiative, make informed judgement without frequent recourse to management
- Able to identify discrimination in the workplace and understand the effects on people
- Able to take appropriate action when discrimination is identified
