This is an excellent opportunity to commence your career in Business Administration. The company we are supporting with their recruitment and Apprenticeship training is a financial advisory business based in Leith, Edinburgh.

This is an entry-level position with a fantastic opportunity to progress within the business.

The starting salary will also increase as you progress through your apprenticeship and will be reviewed at the end of your apprenticeship.

You will assist the Office Manager with the running of the Company office, where you will gain valuable experience and exposure to various parts of the business, with a particular focus on the client experience, communications, procurement, facilities, finance, health and safety, HR, and ad-hoc project work.

**General Operations**:

- Incoming calls are answered, and messages taken appropriately.
- Meeting rooms are set-up and cleaned to a high standard.
- Visitors and clients are greeted professionally and provided with refreshments
- All incoming and outgoing mail is processed accurately.
- Linking and filing of documents to Volume database as required.
- Support mailbox and good news mailbox are monitored, with required actions

taken proactively.

**Facilities**:

- Key-holder and car registration lists are maintained.
- Facilities are monitored and any maintenance issues dealt with or escalated.
- Updates made to phone list / org chart / seating plan as required.

Health & Safety
- Regular fire alarm tests and fire extinguisher checks carried out.
- Assisting with quarterly fire drills.
- First aid kit maintained.

**Procurement**:

- Travel and accommodation are booked in line with Company guidelines.
- Gifts are ordered for client referrals and feedback.
- Estimates, receipts, invoices, and contract changes are organised as required.
- Ad-hoc purchases are made within company guidelines as required.
- Procurement paperwork is saved to Volume, and all Volume records kept

organised.
- The performance of suppliers, i.e., cleaning and facilities maintenance is

monitored, and issues are raised appropriately.
- Assistance is given with renewal/renegotiation of expiring supplier contracts.

**Finance**:

- Helping with the management of Direct Debits and Xero invoice templates.
- Helping with maintenance of Pleo account.
- Raising purchase orders, checking, and processing purchase invoices on Xero.
- Commission processing with support from Accounts Manager.
- Helping with sales ledger credit control (commissions and fees).
- Helping with the management of L&D procurement and record keeping.

**HR Support**:

- Support given with managing joiners and leavers process.

**Other**
- General admin support (e.g., with HR or project tasks) is delivered accurately.
- Company documents are updated using PagePlus, Adobe and Word.
- Newsletters and ad-hoc mailings are sent to clients as required.

**Qualifications and key skills required for this role include**:

- National 5 A or B or equivalent in English and Maths is essential
- A working knowledge of Microsoft Office packages is essential.
- Consistently polite and professional to colleagues, clients, providers, and

suppliers.
- Is proactive in following or defining improvements to working practices and

procedures.
- Excellent interpersonal skills.

**Job Types**: Full-time, Apprenticeship

**Salary**: £18,000.00 per year

Schedule:

- 8 hour shift
- Monday to Friday
