**JOB TITLE**: Accounts Clerk/Administrator

**LOCATION**: Windsor, Berkshire

**REPORTING TO**: Finance Manager

**HOURS**: Full Time (40 hours) **Term Time + 3 weeks**

**PURPOSE OF THE ROLE**:
The Green Room Foundation needs an Accounts Clerk and Administrator to work in partnership with our school support teams to assist in the smooth running of our schools. The role includes a variety of accounts tasks principally purchase invoice and sales order processing and bank reconciliations. The administration element principally relates to HR tasks and helps us to run our foundation. This dual role works closely with the Finance Manager to deliver support of the foundations activities.

We work very closely with The Swan CIC (where our Sixth Form College) is based, and process their books for them also.

This is a full time role with 6 weeks holiday - the days between Christmas and New Year to be taken as holiday, and all other holiday to be taken during the school holidays.

This role will attend our inset and outset days.

The Green Room Foundation is a lively environment where we pursue audacious and unmissable education for our pupils so during term time it is very busy. At half terms and in the school holidays there is a chance to catch up and carry out administration projects needed in preparation for the next term.

**MAIN DUTIES & RESPONSIBILITIES**:
**Accounts Clerk (using Xero software) for The Green Room Foundation and The Swan CIC**:
Preparing and processing Sales invoices (liaising with our Admissions Manager).

Coding, checking and posting Purchase invoices.

Preparing purchase reports for payment.

Reconciling supplier accounts including Amazon

Uploading bank transactions.

Scanning and uploading paper copies of invoices to HubDoc.

Reconciling the bank accounts.

Credit control.

Filing finance paperwork.

Work with the Finance Manager to ensure additional reconciliations are prepared and actioned.

Researching the best deals for utilities and moving our accounts to take advantage this.

**Administration, to include**:
**Human Resources**:
Assist the School Business Director with recruitment, hiring, induction and staff welfare.

Seek references for new staff.

Carry out all the legally required checking for new staff.

Prepare induction documentation for new staff.

**General Administration**

Assist with additional administration tasks as needed.

Research for procurement of assets, training and other items needed by the

schools.

Assisting other Support Team Members.

Due to the very varied nature of this role there will be many additional tasks and projects to get involved in as the schools develop.

**KEY CRITERIA**:
This position requires a calm, polite, non-judgemental person who can work quickly and precisely, can multi-task and organise their work to deliver to deadlines.

It is a busy and role which suits a person who has excellent attention to detail.

In additional we require excellent interpersonal skills to liaise with colleagues, councils and suppliers, and clear precise written and verbal communication skills.

Good literacy and numeracy skills are essential, with knowledge of Google technology, and Xero an advantage.

We have a new position for a bookkeeper to help with our expanding Foundation, the role is Monday to Friday during term time, plus 3 extra weeks in the holidays (which ususally coincide with Mainstream school terms.

Bookkeeping experience is not absolutely necessary as we can train but obviously would be an advantage.
