To provide clerical and administrative support to the medical secretarial / clinicians team within Community & Neurodevelopmental Paediatrics. The role requires competency in general administration, keyboard skills, good communication and an ability to work well within a team. An ability to understand the need for and to maintain confidentiality is essential.

We are looking for an enthusiastic, motivated, hardworking and flexible individual to join the Community Paediatric Booking Team for a period of 12 months.

You must be an organised, conscientious, caring person with the ability to work on your own or as part of a team and be able to cope with a demanding workflow which at times can be challenging and working to tight deadlines.

The hours are 8:30am to 4:30pm Monday to Friday.

We are a team of Clerical Officers and Medical Secretaries based across two sites, Burnley General and Royal Blackburn Hospitals.

We work to strict deadlines and have to adhere to tight timescales, working in a demanding environment.
- Arrange clinic appointments for the Community Paediatrics service. Book appointments, send out appointment letters and cancel and rebook clinic appointments, under the supervision of the medical team.
- Deal with queries from staff and answer phone queries from patients and various organisations using CNP service.
- Book new patient appointments using Opt in and Choose & Book systems
- Use Envoy to action text reminder responses from patients.
- Print relevant clinic lists, ensure that all case notes are available for necessary outpatient appointments, ensuring all filing is up to date.

- Ensure notes are filed and tracked back in records room when not required for clinics.
- Disseminate clinic lists to various departments, ie: hospital, community clinics, etc
- Compile new patient records following departmental guidelines.
- Update new patient record database ensuring records available for outpatient appointments, phone correspondence, etc.
- Transferring and booking in patient records using relevant systems, ie: EPR.
- Ensure all incoming referrals are promptly passed onto the clinicians for triaging and CAB referrals are dealt with, in a timely manner.
- Liaising with other departments within the Trust and outside agencies, ie: medical records, outpatient clinic, school nurses, health visitors, GP’s, etc.
- Use of photocopier, fax and e mail when necessary.
- Weekly outpatient attendance recording and clinical coding via hospital system.
