1 Manage the day to day operation of the booking system

1.1 be responsible for co-ordinating, planning and booking passenger/group trips

1.2 ensure the database of service users is maintained

1.3 ensure drivers are correctly allocated to each booking

1.4 respond in a timely and accurate manner to all booking enquiries

1.5 liaise daily with drivers and service users

1.6 liaise with external service providers in relation to the booking system

2 To maintain the Partnerships current Management Information System (MIS), Flexiroute

2.1 update and maintain individuals records on Flexiroute

2.2 update and maintain groups records on Flexiroute

2.3 update and maintain Smart Pass details for all members

2.4 locate and correct data entry errors, or report them to supervisors

2.5 store completed documents in appropriate locations

2.6 obtain further information for incomplete documents

2.7 update data and delete unnecessary files

2.8 respond to requests for information and access relevant files

2.9 comply with data integrity and security policies

2.10 print information when required

2.11 maintain confidentiality

3. Deal with all relevant telephone, letter and personal enquiries ensuring appropriate follow-on communication or action where required.

4. Hold and take responsibility for the ‘Emergency Phone’ outside office hours.

5. To produce and distribute agendas and the minutes of team meetings, sub-committees and reports for further meetings.

6. To provide clerical support for the Operations Manager including:
6.1 general office duties

6.2 word-processing

6.3 spreadsheets

6.4 databases

6.5 photocopying

6.6 filing and mailing

6.7 secretarial support to assist with the recruitment of staff and volunteers

7. To assist with the production of all materials for staff and volunteer training.

8. To assist with publicity, MIDAS training and open days, annual general meetings, displays and other events or meetings (including after office hours) relating to Down Armagh Rural Transport Partnership.

9. Maintaining adequate supplies of stationery and other equipment.

10. Assisting if necessary with the mentoring of administrative volunteers and placements from third party agencies.

11. To undertake any other reasonable duties as may be required from time to time by the Operations Manager in line with the status of the post.

**Job Types**: Full-time, Fixed term contract
Contract length: 36 months

**Salary**: £10.00-£11.50 per hour
