To support the Practice culture of collaborative, flexible cross team working and commitment to delivering quality services and outcomes, which support the Practice policies.
Meeting administration
- Manage team meetings including where applicable: invitations, booking rooms, circulation of agenda, taking and typing minutes and circulation to attendees.
Attend various practice meetings, take notes and relay any actions needed to attendees.
Upload minutes to Teamnet where needed.
HR Administration
- Assist with annual leave, approving and allocations.
- Taking and typing of confidential minutes.
- Assist with recruitment and new starters
- Monitoring staff mandatory training and ensure it is kept up to date.
- Arranging and typing personal development reviews for all staff.
Complaints and Compliments
- Assist Complaints Officer in drafting and typing responses to written complaints and manage complaints procedures and record keeping.
General administration
- General filing
- Typing of reports
- Updating and circulation of policies
Students
Liaising with universities to arrange student placements
Organising student timetable/rota when attending the practice, taking into consideration clinical team calendars.
Carrying our induction for all students.
Being point of contact for students when on placement.
Answering Calls
To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

**Qualifications**
RSA / OCR II or equivalent qualification/experience Word Processing Skills
**Experience**
Office administration experience at least 2 years Experience of using Microsoft Office software, a good understanding of IT packages.
**Knowledge**
Excellent communication and interpersonal skills including ability to relate to people at all levels
**Skills**
Excellent communication skills IT skills Able to work well as part of a team and on own initiative Good time/ resource management skills Willingness to adapt to change Able to work under pressure and deal tactfully and with diplomacy when faced with difficult situations
