**The Role**:
This role requires a Receptionist / Administrator to provide a professional front of house service to external and internal customers, ensuring the smooth and efficient running of the Head Office reception area.

**Key Responsibilities**:
**Client relations**:
Provide a welcoming and professional front of house service for staff, visitors, contractors and callers with a seamless transfer from reception to host
Demonstrate high standards of personal appearance and tidiness of the reception area
Ensure the visitors parking area and EV charging points are managed appropriately

**Administration/General**
Handle internal / external calls via the switchboard system
Manage incoming and outgoing post including use of a franking machine

Scheduling meetings, appropriate meeting rooms and arranging catering when required
Book travel and accommodation using the online platform in accordance with company policy
Order stationery and staff welfare consumables and keeping accurate records of costs

Liaise with facilities management team to book in repair and maintenance activities

Provide admin support to the board and senior team on an adhoc basis

Good basic knowledge of Microsoft Office including Word, Excel, Adobe and Teams

General housekeeping of reception area, meeting rooms, canteen and communal areas -keeping worktops and fridges tidy, loading / unloading dishwasher, keeping milk supplies topped up

**Health & safety**
Ensure visitors are signed in/out and issued with a visitors pass

Keep detailed records of visitors to Barhale House

**Communications**
Deal with all enquiries in a polite and timely manner

Ensure calls are answered within 3 rings, are transferred correctly and to the appropriate person

- Previous experience of reception and switchboard operation

**Ability to cover job share sickness and holiday cover from 13:30 pm to 6pm - as and when required**
