The main function of the Impact and Innovation Administrative Officer will be to provide comprehensive and professional support within the Research Commercialisation and Impact Team for the administration of the internal Impact and Innovation funding calls.
- Key Duties
- Working closely with Impact Officers and Team Leaders to disseminate information via a range of communications channels.
- Managing team intranet and webpages, creating and monitoring team Microsoft Team channels.
- Managing the publicity and communications for Impact and Engagement activities.
- Assist in the organisation of events as and when applicable.
- Creating or duplicating Surveys (content provided) and distributing accordingly. Monitoring responses and promoting at regular intervals.
- Work with the wider team to revise the Impact and engagement project pipeline, work with Impact Officers to ensure the pipeline remains up to date.
- Pull data requested from wider team from the pipeline in advance of meetings.
- To work closely with team members to disseminate information in relation to the devolved funding calls via a range of communication channels.
- To provide detailed advice and guidance on Innovation for all and Impact Acceleration Account processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action, contributing to the resolution of more complex issues
- To communicate effectively with academic staff who have received Impact and Innovation funding to advise them of their reporting obligations on activities undertaken during their projects.
- To arrange Impact and Innovation panel meetings and take minutes of the outcomes.
- To collate and manage relevant information from academic project holders on their activities and outputs in relation to their Impact and Innovation projects.
- To contribute directly to the development of Cardiff University’s Impact and Engagement team’s responsibilities for administering devolved funding accounts through close liaison with members of the team and others at the University, ensuring effective communications both within the team and with academic Schools at all times.

**Person Specification**

**Essential Criteria**
- NVQ 3/A-Levels or equivalent
- Substantial experience of working in an administrative role.
- Specialist knowledge of Microsoft Office programs, in particular Outlook, Access, Word, and Excel.
- Ability to set up standard office systems and procedures and make improvements as appropriate.
- Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding.
- Proven ability to advise and influence key stakeholders.
- Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered.
- Evidence of ability to solve problems using initiative and creativity; identify and propose practical solutions and to resolve problems where there are a range of potential options available.
- Evidence of ability to analyse processes and procedures and advise on improvements.
- Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work.

**Desirable Criteria**
- Degree or an equivalent qualification or equivalent work-related experience
- Experience of working in a Higher Education environment
- Fluency in Welsh, written and oral
- Ability to use Oracle and Business Objects to monitor project financial transactions
- Knowledge of Research Wales Innovation Funding and Research Council Impact Acceleration Accounts and their purpose.
