**Key Responsibilities**

**Communication and Relationships**

Presents a calm and professional approach to clients, carers, external partners, colleagues and visitors at all times. **Ensures that sensitive and confidential information is appropriately protected when stored and transmitted. When dealing with information regarding adult and or child abuse the post holder is exposed indirectly to information which may be distressing**
Provides information and advice to a range of internal and external contacts, delivering a high level of customer service using electronic, telephone, written and other channels of communication. The content to be communicated may be sensitive or complex. *
Communicates tactfully with callers and visitors to deal with enquiries where there may be barriers to understanding. Proactively trouble-shoots unresolved queries and documents complaints for resolution. Date agreed complete to be added in here and Version number *

Deals with confidential information sensitively and professionally. **Receives and directs visitors to own and other services/departments appropriately. ** Composes own letters, representing the organisation in a professional way.

**Responsibilities for patient/client care**

Contributes to delivering a comprehensive high-quality service to all clients through administrative support and customer service.

**Analysis and Judgement**

Makes assessments and judgements about how best to resolve issues such as conflicting diary/clinic appointments or patient/client queries, escalating to an appropriate colleague where necessary. **Prioritises own workload and oversees the workload management of others, to meet team/service/department requirements. ** Sorts and distributes incoming and outgoing mail in a timely and accurate manner.

**Planning and Organisation**

Plans workloads for self and supports others to ensure deadlines are met or renegot iated, and a high standard of service is provided. Diary management of self and team. **Organises meetings/events/appointments, using electronic diaries, and liaises with others to meet the needs of the business. This may include booking venues/equipment and ordering refreshments/catering, using the most costeffective methods. Collates agenda items from participants. ** May act as the lead for an administrative process or series of events/meetings.

**Policy and Service Development**

Follows all policies and procedures relating to own work/employment and that of the service/department. Proposes improvements and changes to policies and contributes to the development of the service/department. **Take responsibility checking, and in conjunction with the safeguarding team, the updating and development of the Safeguarding web pages.**
Working with the named lead and Head of safeguarding to develop and review new team processes and service requirements

**Managerial**

Uses and maintains physical and financial resources carefully and cost-effectively, including equipment and supplies. May be responsible for petty cash/valuables, stationery and/or stock control. May order goods and services, using electronic systems, and check monetary claims for accuracy (e.g. travel and timesheets). **Assists, advises and/or trains new or less experienced colleagues and may provide day to day supervision to others. Checks colleagues’ work for quality assurance. ** Manages information in a range of ways including maintaining databases and setting up spreadsheets, text processing (including audio-typing in some posts), sensitive and confidential handling of paper-based and electronic data
(including patient/client data) and electronic filing. **Collates and extracts data and statistics to produce reports/charts (e.g. for performance data and board reports).**

Takes and transcribes formal minutes for service/departmental meetings.
- To support the safeguarding adult team with the administrative management and oversight as appropriate of Sirona’s contribution to Domestic Abuse Multi-Agency Risk Assessment

Conferences.
- Develop and sustain good and effective working relationships with colleagues in the business and external to Sirona in order to facilitate collaborative working and mutually beneficial
