The Role

Sitting in the International Recruitment and Development team (IRD), which is part of Global Marketing and Student Recruitment (GMSR), the International Project Support Officer reports to the Head of IRD and works closely with the rest of the team, the wider GMSR teams, and academic departments.

Whilst there is a need for strong organisational skills, there is also a significant liaison element to this role, which requires excellent communication skills to harness colleagues’ enthusiasm and focus it on the institutional direction, while building and maintaining productive relationships with key influencers and supporting overseas partners.

Appointments are normally made within 4 - 8 weeks of the closing date.

What you’ll do

**Main Duties & Responsibilities**

**Administration**
- Manage the international enquiries inbox, answering questions where possible, adding new leads to CRM, and in some cases putting students/parents in touch with academic departments, other departments, or with IRD colleagues.
- Set-up new and update existing supplier details in the university’s financial system.
- Process financial transactions to ensure regional budgets reflect accurate current and planned expenditure.
- Organise and up-date shared folders and files in the IRD Share point.
- Liaise with IRD and wider GSMR teams to arrange bi-weekly training sessions with academic and service departments.
- Develop and maintain understanding of the programmes offered by the University.

**Digital Presence**
- Support academic departments and IRD in digital events such as webinars and online open days, including the set up of the platform, promotion, monitoring through the event, organising correspondence with attendees and analysing attendee data.
- Maintain and update the IRD pages of the University website, including the Agents’ Hub.
- Assist with the set-up of any digital advertising campaigns being run for or on behalf of departments or IRD, liaising with other teams in GMSR to create content, landing pages, and track the success of the campaign.
- Work with external organisations to enhance the profile of the University on course search websites, with updated messaging, corpertate logos and imagery.
- Where appropriate, liaise with external organisations to engage in digital marketing activity.

**Travel/Event Organisation**
- Work with the Logistics Assistant, and IRD colleagues to organise itineraries for outward delegations including travel and appointments for colleagues undertaking IRD-sponsored activity.
- Coordinate itineraries to ensure maximum impact for the University, with emphasis on prioritisation between a range of potential appointments, understanding of local geography and travel challenges, maximising use of the traveller’s time and considering health and safety implications.
- Organise itineraries for incoming delegations to the University including visits from partners, schools, counsellors, embassy and high commission staff, potential applicants and any other relevant visitors.
- Assist staff on IRD-sponsored activity with risk assessments and insurance cover during overseas trips.
- Respond to problems through identification of appropriate alternatives e.g., in controlling itineraries to identify and secure suitable venues for visitors; and to liaise and negotiate with travel consultants to ensure staff have effective travel and accommodation arrangements.
- Identify and make recommendations for improvements in setting out visit itineraries both for visitors to the university (working with colleagues) and for colleagues working overseas (working with a range of external contacts).
- In co-operation with other IRD colleagues, organise annual airport pick-up activities for international students, including creating a booking system, liaising with coach companies, identifying staff and student support and corresponding with students.
- Liaise with Logistics Assistants on any freight issues that may be raised.

**Partner Administration**
- Where appropriate, and under the direction of senior IRD team members, process paperwork for new progression partners, working with the University admissions teams to secure recognition of external qualifications / partner programmes.
- Maintain accurate records of all new agents and partners on shared files, the CRM system, the website and student record systems.
