At the heart of your role as Finance & Business Support Executive are responsibilities that require a keen eye for detail and a proactive mindset. From ensuring the automated production of invoices for memberships, events, and training courses, to coordinating the intricate process of membership renewals, you’ll be the linchpin of our financial operations.

With a focus on debt chasing and meticulous processing of supplier invoices, you’ll ensure the seamless flow of transactions across our £1.5m turnover.

Your ownership of the team expenses procedure and adept handling of month-end financial information, including reconciliations and reporting, will be crucial in maintaining our financial health and efficiency.

**Collaborative responsibilities**
- Contribute to the refinement and/or implementation of practices and procedures to achieve operational efficiency.
- Support financial and business reporting across the organisation.
- Training and support of the team in relation to financial practices.
- Play a role in delivering our strategy.

**Role specific responsibilities**

**Financial**:

- Ensure the automated production of invoices for new memberships, events, training courses, and produce ad hoc invoicing as required.
- Coordinate membership renewals, due on a monthly basis, and coordinate renewal process with membership team to ensure automated issue of invoices.
- Monitor automated debt chasing processes and chase payments by phone, in line with the EOA debt chasing process, and associated reporting.
- Processing of supplier invoices issued to the EOA, including setting up payments within the EOA Bank, in line with EOA’s processes.
- Monitor bank statements for payments in and out on a daily basis, recording appropriately, and ensuring all costs and purchase invoices are allocated correctly.
- Process month end financial information - undertake reconciliations inc. checking and coding all income and expenditure, producing reports on invoicing and credit notes, processing expenses and reviewing credit card statements.
- Regular liaison with our third-party accountancy services provider to ensure accurate coding and working practice efficiencies.
- Own the EOA team expenses procedure.

**Business Support**:

- Data input and ongoing maintenance of the CRM system.
- Supplier liaison and contract support.
- Support secretariat services for EOA Board, Sub-Committees, and Membership Council as required.
- Make travel and accommodation arrangements for the team.
- Data input and ongoing maintenance of data in the CRM and Finance system.
- Provide ad-hoc administrative support.

**Knowledge and experience**
- Previous experience in a busy administration role
- Experience of carrying out financial duties in a small business (c.£1.5M turnover or more)
- High level of competence in using the following MS Office products - MS Word, Excel, Outlook, and MS Teams
- Experience of using CRM, accounting software, and online banking systems. Full training in the systems we use will be provided.
- General understanding of business and commerce.
