Rental Co-ordinator/administration Assistant

As Rentals Co-Ordinator you will interact with our customers, providing excellent support and for our Aftermarket rental team. You will be a key member of the function within our Aftermarket department - supporting the full lifecycle
from customer enquiry and order through to service/repair completion and invoicing. You will have a high level of accuracy, good
time management skills, and the ability to work using your own initiative in order to provide support within a strong
Rental Service Team. This position will initially be based out of Dyce, transferring to our Kintore facility later this year.
**DUTIES & RESPONSIBILITIES**
- Provide and coordinate administrative support to the Rental / Service Department Team
- Act as a local point of contact for Rental / service mobilisation and assist with service logistics where required
- Assist customers with Rental / Service requests, enter and maintain accurate data in company systems
- Enter orders into company systems assuring accuracy of all data is maintained to a high standard
- Process orders for replacement parts accurately and in a timely manner
- Respond to customer inquiries, requests, and complaints in a timely manner working with other staff members to increase customer satisfaction and turnaround times
- Prepare delivery / collection paperwork & update the Transport Log, working closely with workshop personnel to capture weights and dims get recorded
- Assist team when dealing with goods and services from local vendors
- Coordinate rental / service technicians and warehouse personnel, including scheduling and routing to assure timely provision of rental / service as directed by supervisor/manager
- Prepare and submit rental / service and repair quotations to customer
- Submission of invoices to customer on order completion Process raised work orders through company systems, updating costs
**QUALIFICATIONS**:
- Good standard of High School Education or equivalent (essential)
**EXPERIENCE**:
- Ability to deal with high volume administration
**SKILLS, TRAINING & SPECIAL KNOWLEDGE**:
- Computer literacy (including good command of Microsoft Office -Excel, Word, Outlook) is essential
- Working knowledge of Customer Relationship Management (CRM) & ERP systems would be an advantage but training will be provided
