**Outpatient Administrator Registration & Referrals Department**

An exciting opportunity has arisen for an Administrator to join our Outpatient Registration & Referrals Team within the Ambulatory Care Division based at the Nottingham NHS Treatment Centre.

We are looking for a highly motivated and enthusiastic individual to undertake a pivotal role in the smooth day-to-day running of the referrals department.

Main duties of the job

As an R&R Administrator, you will provide a comprehensive administration service to ensure that all patient referrals are processed in a timely and accurate manner. You will need to be adaptable, flexible, friendly, polite and caring.

You will have access to sensitive and confidential information and will therefore need to be able to maintain sensitivity and empathy while behaving in a professional manner. You will also have daily contact with staff at various levels and must be able to communicate at an appropriate level, conveying information clearly and accurately.

You will be a competent IT user and will have experience in the use of Microsoft Office packages.

The referrals team is based at the Treatment Centre and this role plays an integral part of the Outpatients workflow.

Detailed job description and main responsibilities

Main duties to include downloading, uploading and printing of ERS referrals to NUH systems. Registering patients and referrals onto the NUH PAS system in line with the Trust access policy.

Processing Service Restriction Policy prior approval forms.

Good communication skills, multi tasking and good IT skills a priority.

Maintain excellent customer relations with clinical staff and NUH colleagues as well as patient and GP's in dealing with face to face enquiries and telephone enquiries.

Keep all electronic files updated to ensure colleagues have the correct, up-to-date information at all times.

Use initiative and experience in medical terminology to ensure that accurate information is recorded on the IT system regarding patient information.

Ensure patient pathway processes are adhered to in accordance with Access Policy and SOPs.

Ensure all referrals are dealt with in a timely manner and are communicated both internally and externally to the relevant parties.

To ensure that information relating to current guidance and legislation is kept up-to-date.

Person specification

Training & Qualification

Essential criteria
- Minimum of 5 GCSE’s or equivalent including Maths and English

Experience

Essential criteria
- Microsoft Office experience
- Administration experience

Desirable criteria
- Knowledge of hospital IT systems e.g. Medway, ERS, DHR.

Comms & Relationship Skills

Essential criteria
- Good communication skills and good command of written and spoken English
- Able to develop and maintain good working relationships
- Able to work as part of a team and quickly adapt to changing situations.

Analytical & Judgement Skills

Essential criteria
- Uses own initiative
- Able to use judgement to make decisions in order to solve problems/enquiries

Planning & Organisation Skills

Essential criteria
- Demonstrate an ability to organise and manage a busy workload
- Ability to prioritise workload
- Ability to work within designated SOP's

Physical Skills

Essential criteria
- Constant use of IT equipment and long periods sitting at a keyboard
- Prompt time keeping and good attendance in the workplace

Desirable criteria
- Reasonable orienteering skills as will need to visit various departments on a daily basis
