Job description - Part time Legal secretary

**Job Purpose**: To provide secretarial and administrative support to all fee-earners at Paul J Watson Solicitor and to provide an excellent level of client care.

Required skills and qualifications;
- 1. Legal Secretarial experience, particularly in Crime and/or Family Law.
2. Experience in audio typing
4. 4 GCSEs at Grade "C" or above, or the equivalent qualification
5. Excellent organisational ability and client care skills.
6. Ability to work under pressure in a busy department.
7. Good knowledge of Microsoft Word and Outlook.
8. Excellent communication skills, both written and verbal.
9. Able to manage your workload with minimum supervision.
10. Good understanding of the Legal Aid contractual requirements and procedures.
11. Experience of using a client case management system.

Main duties;
- 1) To prepare correspondence, bills and documents for fee-earners through audio typing and word processing.

2) To administer filing (which will include daily filing) and opening and closing, storage and retrieval of client files in the detailed procedures contained in the Quality Manual.

3) To prepare mail and enclosures.

4) To administer all necessary photocopying.

5) To make appointments, arrange meetings and to maintain an up to date diary.

6) To check own work to minimise errors and avoid corrections.

7) To provide support to other secretaries as required.

8) To attend clients both in person and on the telephone when required to do so and to provide such support (but not advice) in a professional and friendly manner, in keeping with the firm’s standards for client care and to ensure a positive representation of the firm in all dealings with clients and others.

9) To undertake any specific training when required and overall to have a responsibility towards self development.

10) To ensure the confidentiality of all the firm’s and clients’ documentation and information.

11) To ensure an adequate supply of stationery, office consumables etc.

12) To undertake any ad hoc task required by her principals.

13) To liaise with her principals regarding the booking of holidays, sick pay etc.

14) To ensure that all tasks delegated to her are carried out efficiently and effectively and within the timescale laid down.

15) To ensure that any equipment used is maintained and cleaned as necessary.

16) To be aware of the contents of the Employee Handbook and Quality Manual and to ensure that the procedures and requirements set out therein are followed and met in so far as they relate to you.

17) To assist in the personal organisation of the fee-earner to whom you are allocated through the operation of the diary management system, including the “bring forward”, key dates, filing of papers systems.

18) To ensure that the general office is kept tidy and clear of health and safety hazards and to report any such hazards to the Practice Manager or other appropriate person immediately.

19) To assist with accounts and direct marketing activities when requested to do so.

20) To attend new clients by an appropriate method of communication and to take all relevant details and undertake the appropriate conflict checks.

21) Upload//download documents and information on the Crown Court Digital Case System and E-Forms system

**Benefits**:
