Operations Coordinator

You will be part of the central resourcing team and report to our Senior Event Operations Manager. It is a full time position and is primarily based at our Country House in Hertford, but we’re also open to there being part remote or agile element to this role.
**Key Accountabilities**
- **Resourcing**: attend operational and resource meetings and ensure all resource captured in our resource tracking systems.
- **
Onboarding**: ensure all new freelancers are on-boarded in line with Smyle procedures and values.
- **
Freelancer roster**: focus on expanding our freelance support roles as well as** **managing events, logistics and production freelance roster and build strong** **relationships with our crew. Schedule calls/interviews with potential new freelancers.
- **
Procim (budget management software); **creation of PO's on all confirmed resource and create new suppliers as well as expense PO’s. Procim training will be provided
- **
Admin**:create Operation Booklets for every project, ensure all crew information is accurately recorded in the job and oversee that the operations booklet is always current and maintained in correct format. Manage NDA’s, contracts, crew packs and travel details for all small to medium scale projects.
- All other duties appropriate to the role.
**Skills & Experience**
- Previous experience working in a similar role in a live events environment with knowledge & experience of pre-production and on-site delivery desirable
- Flexible approach to working hours. Must sometimes be available to be main point of call for any queries on crew travel days, even if these fall at the weekend or evenings
- Proficient and experienced user of Microsoft and Google office programmes is essential, as well as willingness to learn new software including Mac based programmes
- Strong at planning, organising and prioritising
- Resilient under pressure with the ability to maintain high level of accuracy & adhere to high standards of quality when working to tight deadlines
- Proactive with ability to work independently as well as contribute to the team.
