We are looking for a full-time administrator to work within the OUH Radiology Department, as part of a wider OUH team providing the Lung Nodule Service. The administrator will be a key member of the team working with closely with the Lung Nodule navigators as part of a multidisciplinary team. You will support the team with governance and administration of the pathway. A keen eye for detail and good organisational skills are a must. The post holder will be required to undertake administrative triage of incoming referrals as well as a number of data entry/management tasks taking place at different points along the service pathway.

The Lung Nodule Servcie Administrator will be a key member of the team working with closely with the pathway navigators and radiographers as part of a multidisciplinary team. You will support the lung nodule team with governance and administration of the pathway. A keen eye for detail and good organisational skills are a must. The post holder will be required to undertake administrative triage of incoming referrals as well as a number of data entry/management tasks taking place at different points along the service pathway. A background in administration and data entry and an understanding of the core principles of Good Clinical Practice (GCP) would be advantageous. but training will be provided.

This is an exciting new post which will involve working closely with radiographers, nurses, thoracic radiologists and lung cancer physicians to deliver a lung nodule service.

Lung/Pulmonary nodules are small well circumscribed lesions which are less than 3 cm in diameter and surrounded by lung tissue. With increasing incidental detection on CT scans and in the advent of lung cancer screening, the number of nodules being detected that need managing is ever increasing. Whilst the majority of these nodules are benign, this cannot always be established immediately, and patients need follow-up scans to look for nodule growth (as a marker of possible cancer). Up to 5% of incidental nodules will be cancerous and represent an early lung cancer that needs timely assessment and management.

There are currently over 2000 patients managed within the Lung Nodule service and we receive approximately 20-30 referrals each week, from GPs and secondary care colleagues. Patients who have an incidentally detected small lung nodule on CT are referred to the service and are monitored with CT scans over a 2 to 4 year period, according to standardised protocols, to assess for any nodule growth (ref BTS).

As surveillance is CT-based with standardised and clear protocols, we have developed a nurse and radiographer-led service, which will follow the guidance for managing pulmonary nodules, as defined by the British Thoracic Society and will be managed from within the radiology directorate.

Main Tasks and Responsibilities

Responsible for the day to day inbox management and administrative triage of incoming referrals.

Responsible for data entry and uploading of patient information onto various systems, such as CRIS and EPR, at different points along the pathway

To take an active role in answering general telephone queries/complaints arising from within the department, patients, GP Surgeries, Consultants, referring departments and wards.

Expected to co-ordinate data/ information from different systems and team members, collate and report.

Assisting with quality assurance of all related documentation in accordance with relevant legislation and guidelines.

Assisting with preparation for audit and inspections within assigned teams.

Ensuring that data is available and up to date for any project/service team meetings.

Assisting with the preparation of audit and inspections documents.

Ensure that office/service related supplies are adequate and assist with the ordering process.

Undertake general administrative tasks as delegated to contribute to the smooth running of the team.

If required attend project related meetings, to convey the relevant information to the team.
