Spire Cambridge Lea are looking to bring on an Administrator to join their Outpatient Physio department at their site located in Impington. In this role, you will be responsible for welcoming patients politely and courteously. Processing referrals for physiotherapy, checking in patients and visitors, booking follow up appointments and organising physiotherapist’s clinics. Ensuring we present a customer focused professional and effective service that meets and strives to exceed all our customer’s expectations. Providing an accurate, efficient, administrative service, operating within established Spire policies and procedures.

**Duties & Responsibilities**:

- Greeting, checking in and managing patient appointments and communications for all patients, ensuring a smooth patient journey throughout.
- Diary management for OP physiotherapists and off-site meeting room.
- To ensure all documentation is handled with confidentially.
- Provide and receive patient information, ensuring that all patient information is provided, received and recorded in accordance with the Data Protection Act and Spire policies.
- Ensure Care Quality Commission compliance.
- To contribute to the general cleanliness, neatness and smooth running of all reception areas at all times, ensuring that any publicity and reading material is available, in date, and well displayed
- Undertake all work in accordance with company hospital policies and procedures. Ensuring familiarity with the Health and Safety at Work Act, including manual handling and fire procedures
- To present a professional, smart image at all times, ensuring adherence to hospital uniform policy
- Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post.

**What we are looking for**:

- Reception or customer service experience.
- Administration, contact centre or database management experience.
- Ability to manage own workload including planning, organising, prioritising and problem solving
- Experience of dealing with difficult customers/patients
- Fully IT literate and a highly competent user of MS Office.
- Excellent interpersonal and communication skills.
- Ability to build and maintain effective working relationships, both internally and externally
- Evidence of delivering and exceeding customer expectations, with the ability to handle difficult situations
- Confident telephone manner being able to communicate with a wide range of customers.
- The ability to work effectively as part of a team
- High degree of accuracy, methodical. logical using a common sense approach to changing workloads
- Innovative and proactive with an ability to work to tight deadlines
- Ability to act with tact and discretion and appreciate the confidentiality implications when dealing with personal information
