Working as part of a team of Ward Administrators facilitating the smooth running of the Wards by providing receptionist, clerical, welfare and administrative support without direct supervision to designated areas.

To undertake admin and clerical duties associated with in-patient records on the wards to facilitate full co-ordination of the admission / discharge process in line with Trust Procedures.

To assist with ensuring that all correspondence and key clinical information written or received in relation to patients are collected and filed on a regular basis in the appropriate section in the case record.

To assist senior clinical staff with the preparation of all new MHA sections, ensuring that relevant staff complete section papers and appropriate paperwork within agreed timescales and that they are delivered to MHA administration office.

In conjunction with Admin Managers set up and continue to develop effective administrative services to ensure a timely and efficient service is available on all inpatient wards including accessibility of policies/procedures/information, safe and secure storage of service user records, effective filing systems, communication systems, etc.

1) Provide full clerical and administrative support for each designated ward including the provision of daily reports as required to assist Matrons / managers in meeting Trust Performance deadlines.

2) Undertake the necessary clerical and administrative duties to ensure the registration, admission and discharge and leave status of service users and ensure that electronic patient record (Rio) as required to agreed timescales.

3) To generate, maintain and file medical and patient records for the duration of stay, including amalgamating and volumising hospital notes in line with trust health records policy.

4) Ensure timely completion of Notification of Discharge Form liaising with Inpatient Medical Staff, Pharmacy, etc in order to meet Trust Performance deadlines.

5) Deal with telephone enquiries for your designated service area and escalate as appropriate.

6) Liaise with Nursing teams, Ward admin/medical records supervisor with regard to admissions, discharges, length of stay etcfor the purposes of ensuring data quality.

7) Offer a friendly and welcoming service to patients and visitors to the Unit both in person and over the telephone bearing in mind in many instances you are the first point of contact.

8) Organise appointments on behalf of service users with other services, i.e. OT, Escorts etc if appropriate to service area.

9) Be responsible for ensuring robust checks to ensure duplicate case records/RIO entries do not occur or are amalgamated.
