**Programme Support Coordinator (Maternity cover)**

**Location**: Leeds City Centre/remote working opportunities

**Employment Type**: Full Time - 37.5 hrs/week (Fixed term contract)

Kaplan Open Learning is seeking to appoint a Programme Support Coordinator to join our busy Programme Support Team. Our Programme Support Team work in a fast-paced environment managing and coordinating tutor recruitment and allocation of work to our Associate Tutors. Working alongside the Academic Heads of Department, Programme Support Coordinators ensure compliance with the quality assurance processes of our validating University Partners.

**About You**

You will have a strong administrative background and be able to manage a busy workload. You will enjoy working in a collaborative but predominantly remote environment, with excellent organisation and interpersonal skills.

Good written communication, problem solving skills and an eye for detail are essential. You will have a proactive attitude with the ability to problem solve and enhance systems and processes to improve performance.

An enthusiastic, effective team worker who enjoys working in a fast-paced deadline driven environment.

There is a requirement to attend the central Leeds office on a monthly basis.

**Role and Responsibilities**

Tutor Recruitment and Training
- Coordinate Associate Tutor recruitment, collaborating with the Academic Teams to develop and place advertisements and assist with recruitment planning
- Schedule and coordinate new tutor training in collaboration with Academic Heads of Departments

Allocating Work
- Take responsibility for allocating tutors to modules in liaison with the Student Support team and monitor classes to ensure the optimum size according to cost, the learning/tutoring experience and other accreditation requirements
- Coordinate the work allocation for dissertation supervisors
- Issue contracts of allocated work to tutors, ensure that the HR system is accurately updated regarding contractual dates and relevant documents are uploaded
- Maintain accurate records relating to work allocated to tutors and associated payments in the in-house bespoke Information Management System
- Collaborate with Student Support and the Academic Team to identify and address any issues with Associate Tutor compliance with contractual obligations

General
- Collaborate with colleagues to maintain tutor resources on the learning platform
- Undertake other tasks to improve processes within the Programme Support team

The post holder will, in addition, carry out any other duties within the scope, spirit and purpose of the job as requested by the line managers. As business requirements change, the job description will be reviewed and amended in consultation with the employee.

**Person Specification and Key Competencies**

You will be able to manage a varied workload and enjoy working in a busy team. Good written communication, problem solving skills, and an eye for detail are essential. You will have excellent planning and organisation skills and be an effective team worker.

**Essential**
- Education at A-Level or above or other equivalent qualification
- Experience of working in a high-level administration/coordination role
- Confident and experienced user of Microsoft Office (Excel, Word, Outlook, Teams) and Zoom / Skype and a willingness to embrace new systems and technology
- Strong customer service skills and be able to work and communicate effectively within and across teams
- Strong organisational and time management skills
- Ability to prioritise and work to set deadlines while maintaining a high degree of accuracy in your work
- High degree of attention to detail
- You will be required to travel to our Leeds office once a month

**Desirable**
- Experience or knowledge of working within higher education/training
- A bachelor’s degree
