**Summary**
Events Assistant Position

The Events Assistant is responsible for assisting in all aspects of quoting and
event planning including generating revenue from simple ‘shopping list’ quotes initially then developing into more complex quoting procedures, servicing clients to the highest standards and assisting Event Managers as required. This role will also support our European offices in the South of France and Barcelona.

**Duties & Responsibilities**

The Events Assistant shall:

- Understand requirements for each event and client hire needs
- Develop and present on brief hire ‘shopping list' quotes developing into more complex quotes
- Perform ad hoc duties as required by your Manager and Senior Team
- Assist in the development and presentation of on-brief client proposals
- Assist in the planning of events with the ability to meet deadlines and budgets
- Book all elements of transportation needs and liaise with the transport company
- Research suppliers and choose the best combination of quality and cost
- Negotiate with suppliers to achieve the most favourable terms
- Assist in managing client relationships and expectations as required
- Assist with the management of all aspects of the event and furniture hire in an efficient and effective way
- Do final checks the day of the event to ensure everything meets quality standards and client brief including stock - check with Warehouse and transport needs with our transport company
- Oversee all aspects and act quickly to resolve problems
- Evaluate outcomes and submit key learnings on all aspects including client satisfaction, stock, and transport outcomes
- Assist in organizing and managing photoshoots, company events, etc. as required
- Assist and support marketing communications activities, e.g., newsletters to clients, Social Media, updates to brand websites, research, tracking results, etc.
- Assist and support on new business opportunities for all departments of the Group, e.g., prospect list research, new business tools, outreach, etc.
- Assist and support with office management tasks as needed and instructed by Office Manager or other senior VL staff
- Assist and support our European offices in the South of France and Barcelona

**Skills & Requirements**
The Events Assistant shall:

**Physical & Time Demands**
The Events Assistant position requires:

- The ability to work full-time (40 hours/week) with periodic early morning/late evening and weekend work paid at overtime rates or recognized with time in lieu as detailed below
- Overtime rates will be paid for time spent during non-office hours at meetings and/or client events that are considered confirmed and billable
- Time in lieu will be granted for time spent during non-office hours at networking events, client meetings for unconfirmed jobs, and when travelling on company business

**Salary**: £22,000.00-£25,000.00 per year
