**OVERALL PURPOSE OF THE POST**:

- To enhance the marketing of Nugent by creating an inviting, warm and welcoming reception function to the office and to assist in the efficient running of the office services under the direction of the Office Manager.
- **MAIN DUTIES AND AREAS OF RESPONSIBILITY**:

- To provide a welcoming environment for all visitors and an excellent level of customer service.
To ensure that all clerical services are carried out to a high standard.
Provide Administrative Assistance to the Registered Manager.
To be responsible for ordering, issuing and managing stationary levels necessary for the efficient running of the office.
To be responsible for maintaining and ordering refreshments for staff and visitors.

- To maintain an electronic diary for meeting room bookings for both internal and external users.
To allocate and monitor hot desks for visiting staff members.
To undertake fire warden duties and maintain a record of fire drills.
To take responsibility for the appearance of the entrance foyer, reception area, corridors and kitchen.
To monitor and manage entry and exit procedures, recording visitors entering and exiting the building
The post holder is required to ensure that all visitors are safeguarded at all times.
- **RELATIONSHIPS**:

- In addition to the relationships determined by the structures and lines of accountability, close working and professional relationships under the supervision of the Office Manager and Community Lead should be maintained with:

- Staff within the People, Learning & Development Department
Staff within the Assets & Facilities Department
Staff within the Financial Department
Registered Managers and other senior staff
Volunteers
Outside agencies -Local Authorities, Schools etc.

**ADDITIONAL DUTIES**:

- It is the nature of the work with Nugent that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are therefore expected to work in a flexible way when the occasion arises, when tasks not specifically covered in their job description have to be undertaken. These additional duties will normally be to cover unforeseen circumstances or changes in work and they will normally be compatible with the regular type of work. If the additional responsibility becomes a regular or frequent part of the member of staff’s job, it will be included in the job description in consultation with the member of staff.
