**Job description**

**Do you have strong attention to detail?**

**We are looking for Administrator to support Car park department at Southampton General.**

The working hours are **37.5 hours **per week.

**Monday - Friday 8.00 - 17.00**

This is a **band 2**, the pay rate is **£11.45 **an hour.

**The role will include the following duties**:

- To be the courteous and helpful first point of contact for all telephone and car park barrier enquires from members of public and staff.
- To issue permits and season tickets according to policy from Travelwise Reception Desk at SGH. Personally interfacing with staff of all disciplines and visitors in a tactful, diplomatic and competent manner.
- To perform the role of system administrator for the computer database system, including system and data back-ups.
- To ensure accurate information is recorded of ticket issues from Designa Car Park System database.
- To liaise with onsite Car Parking Attendants, issuing instructions and providing support information as necessary.
- To ensure that when parking permits are issued the appropriate financial payments are authorised and annotated on the computer database and kept up to date. Page 2 of 4
- To provide the Operations Manager with a monthly report of Trust staff paying through Salaries and any amendment and cessation of payments.
- To provide Travelwise Secretary with completed Standing Order mandates.
- To administer and operate the car park control system maintaining all related system documentation liaising with the system supplier and maintenance organisation ensuring that prompt responses are provided for system developments and maintenance requests.
- To prepare and respond to routine correspondence.
- To assist the Office Manager in directed project work and audits.
- To develop and operate computer system and working patterns within the department.
- To be responsible for own petty cash float of £75.00 and monies collected at reception. To ensure accurate and appropriate records are held of all tickets sold or issued.
- To reconcile cash and credit/debit card payments of over £2000.00 on a daily basis, for other Administration Officers in respect of parking fees for students and long-term visitors. Ensure monies are taken to Cashiers daily with approval cash collection sheets. Any discrepancies to be highlighted to Office Manager or Transport Services Manager.
- Make petty cash disbursements in accordance with the financial procedures for Office Manager to authorise.
- To make bacs refunds in accordance with financial procedures for Transport Services Manager to authorise.
- To participate in staff training and annual Individual Performance Review.
- On occasions may be required to make judgements on ticket issue/refunds in the absence of management or supervisory support

- Strong customer service experiences
- Is dynamic and enthusiastic with a mature, responsible and flexible outlook to join our busy department
- Has a professional, caring, and courteous manner and a thorough understanding of good customer service.
- Has a high standard of attention to detail and computer skills, being proficient with Microsoft packages, particularly Outlook, Word and Excel and ideally having in house IT systems knowledge, however this can be trained.
- Will enjoy working as part of a varied multidisciplinary team and meeting new people as well as being confident to work unsupervised and using their initiative within role remit.
- Has the ability to work effectively as a team player and independently.
- Can manage your workload in an organised, proactive and effective manner, you are reliable, self-motivated, have excellent communication and interpersonal skills with a flexible approach to work, and can work within a fast-paced environment.
