We are seeking an enthusiastic a band 2 Appointment officer to work across two sites, UHPT and the Cumberland Centre. The applicant will provide administration and reception duties for antenatal and postnatal clinical areas. Responsible for first booking appointments with the midwife for women and pregnant people. Liaise with midwives, midwifery support workers and community midwifery management to support the provision of high-quality care. Provide an efficient and reliable service in line with national targets, meeting Trust standards. To provide administration support to community midwifery services. To work in collaboration with staff in other areas of the Care Group and Trust to facilitate a streamline service for patients. This is a full-time position 37.5 hours per week, Monday to Friday.

**Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.**
- Receive referral forms from GPs and Midwives and ensure these are prioritised.
- Register new patients on IPMS system, ensuring double registration does not occur
- Support midwives by booking new and follow up appointments following Trust
- Answer telephone calls from women accessing maternity services and signpost appropriately.
- As required, telephone patients with urgent/last minute appointments.
- To undertake reception duties.
- Dispatch appointment letters as necessary
- Take appropriate action with regards to telephone calls from patients/medical staff, nurses and other trust staff and to respond to those calls in a courteous and helpful.
- Take appropriate action when clinic capacity alters (i.e., cancellations of sessions, over bookings)
- Follow procedures for: requesting hospital notes, requesting transport/amending transport bookings.
- Rotate with other staff members within the Care Group to ensure flexibility within the team.
- To cover within the office in times of sickness / annual leave
- Lunch time cover for maternity reception as and when required.
- Other duties as appropriate to the post.
- Receive and deal with confidential telephone enquiries from patients. Be able to handle patient complaints.
- Be able to communicate sympathetically with both patients and staff dealing with difficult and traumatic events.
- Liaise with various departments and professionals within the hospital and outside agencies via verbal and written communication.
- Be able to maintain concentration on task during periods of interruptions.
- To be a team member within the office and able to multi skill within the various areas.
- To work closely with other admin and clerical staff within the division.
- To provide administration and reception duties for maternity ultrasound, antenatal and postnatal clinical areas.
- Responsible for first booking appointments with the midwife for women and pregnant people.
- Liaise with midwives, midwifery support workers and community midwifery management to support the provision of high-quality care.
- Provide an efficient and reliable service in line with national targets, meeting Trust standards.
- To provide administration support to community midwifery services.
