Company Secretarial Administrator

The role will be responsible for providing administrative assistance to the CoSec Team to maintain an efficient and professional Company Secretariat function across the Group.
This is a wide-ranging job involving an extensive range of contacts both within and outside the organisation and which requires a proactive approach.
The post-holder will be expected to provide administrative support and general office duties and to work under their own initiative when necessary.
Standard PA duties may also be a requirement of the role.
**The characteristics of the key accountabilities are**:
- Provide administrative support to the Company Secretariat team ('CoSec') across all locations, including Bristol, London, and Daresbury.
- Preparation and distribution of agenda and board packs on behalf of CoSec as required.
- Organising meetings, rooms, and events, and attending as required.
- Prepare and keep up to date a monthly list of all board meetings.
- Filing of documents with Companies House to comply with statutory requirements.
- Coordination of responses to 'Know your Customer' (KYC) requests.
- Maintaining and keeping up to date directors' ID.
- Providing support to other members of the teams when required during periods of absence or when workload pressures dictate.
- Filing hard copy documents as required in the CoSec filing system in Bristol with responsibility for keeping the system tidy and in good order.
- Filing and maintaining soft copy documentation as required, using Diligent, SharePoint and any other means required.
- Collating documents to send to the Archives, including keeping a comprehensive list of documents sent off site.
- Assisting CoSec with bank mandates, including completing forms, obtaining signatures, and submitting to banks for update and maintenance of the bank mandate tracker (CoSec).
- Project Bible support.
- Document searches including liaising with external sources as necessary.
- Ensuring compliance with company policies.
- Undertake such other duties as may reasonably be determined as commensurate with the grade of the post.

- Good standard of general education
- Experience of MS Office programs including PowerPoint, Word and Excel
- SharePoint knowledge
- Microsoft's Outlook and Calendar functions

- Advanced SharePoint

- Presentable and professional
- Strong organizational and planning skills
- Strong interpersonal and written/verbal communication skills
