**Job title: Administrative Officer - Maternity Cover**
**Reporting to**: Chief Executive Officer?
**Location**: Hybrid working, and they are happy to discuss the number of days in the office, which is in Shoreditch, London E1.
**Salary**: £26,000 per annum, pro-rata
**Contract**: This is a part-time role (21 hours a week) that can be worked flexibly over 3 or more days a week. The contract is initially for one year maternity cover.

**Benefits**: Access to a defined contribution pension and 25 days annual leave per year (pro rata) + 3 working days between Christmas and New Year

**Purpose of the role**: Our client is seeking an Administrative Officer to support the team and manage the office systems and processes, helping to ensure the smooth day-to-day running of the charity.

This is an exciting role for somebody to make their own. The person in the role can focus on their core duties, or if they would like to, there is also ample opportunity to learn from others in a small team.

**Responsibilities**:
Office Management**
- Responsible for ensuring the team office functions smoothly and is properly resourced, including being the main contact point for their IT suppliers
- Manage the charity’s systems and contact lists including their contact database and monitoring system

**Chief Executive Support**
- Support the Chief Executive with finance processes, through preparation and monitoring of invoices, and ensuring good systems for sharing finance documents with their accountants
- Support the Chief Executive on fundraising, by managing the grant funding administration
- Preparation for and delivery of Trustee and Committee meetings, including preparation of meeting papers, liaising with trustees, minuting meetings
- Delivery of data protection responsibilities and secure data management
- Attend meetings and events as required

**Team Support and Comms**
- Provide administrative support including diary management and travel booking
- Research and organise/book monthly team social events
- Support with events management e.g. coordinating and managing invitation lists, room bookings and other logistics
- There is also opportunity to support the Communications Officer in managing the charity’s social media presence and website

**Person Specification**

**Essential**
- Commitment to social justice and to upholding the rights of women and girls
- Excellent organisational and time management skills
- Excellent attention to detail
- Can demonstrate initiative and ability to work independently
- Experience in MS Office including Outlook, Word and Excel
- Experience of administrative/team support duties
- Experience of being a main point of contact for stakeholders or customers
- Experience of developing collaborative working relationships
- Able to securely handle personal data appropriately and ensure confidentiality
- Strong team player with a can-do, positive and flexible approach
- Willingness to learn new skills and to get stuck in with what needs to be done

**?Desirable**
- Experience of working in an office (preferably in a small team)
- Experience of financial support, such as processing invoices or bookkeeping, or can demonstrate willingness to learn
- Experience of liaising with grant-making Trusts and Foundations (or funders), or can demonstrate willingness to learn
- Confident creating new systems and to ensure that core functions are delivered
