**Office Administrator**

**Objective**:
The Office Administrator plays a vital role in providing comprehensive support to all teams within the organisation, including Operations, support, marketing, sales etc.

This position requires adaptability, flexibility, and the ability to handle a wide range of responsibilities, contributing to a dynamic and engaging work environment.

**Key Responsibilities**:

- Manage scheduling of internal and client meetings, including coordinating team members' calendars and booking appropriate meeting rooms.
- Take detailed minutes during key meetings and assist in the creation of agendas for follow-up meetings.
- Organise and maintain accurate filing of important documents related to meetings and projects.
- Handle all non-inventory Purchase Orders (POs), including raising and receiving POs, managing invoices, and collaborating with the accounts team.
- Assist in making travel arrangements for the team, including communicating with travel agents and ensuring smooth logistics.
- Maintain and process expense reports for all employees, ensuring adherence to company policies.
- Coordinate logistics for customer demo products, including arranging shipping and tracking returns.
- Support the administration of product returns and repairs (RMAs), including coordinating with technical and manufacturing teams and managing return shipments.
- Collaborate with the operations team on non-inventory shipments, such as managing swag and tradeshow-related logistics.
- Administer the customer training program, including scheduling sessions, processing payments, distributing materials, and organising catering.
- Update the company website by posting news stories and other relevant updates.
- Manage office swag distribution, prepare items for training sessions and tradeshows, and ensure appropriate stock levels are maintained.
- Create and distribute the monthly social media report, exploring automation opportunities to streamline the process.
- Serve as the primary contact for all deliveries in the London office.
- Oversee the administration including meeting coordination, nominations, elections, and accurate minute-taking.
- Provide assistance to colleagues with various tasks as necessary.

**Essential Skills and Qualifications**:

- Prior experience in a similar office administration role.
- Exceptional attention to detail and strong organisational skills.
- Excellent written and verbal communication skills in English.
- Proficiency in using an ERP system or business accounting software.
- Strong knowledge of Windows OS and MS Office tools.
- Ability to efficiently manage multiple tasks and prioritize effectively.
- Demonstrated problem-solving skills and a proactive approach to work.
- CAN-do attitude and ability to thrive in a fast-paced environment.

**Desirable Extras**:

- Knowledge and experience of WordPress.
- Previous exposure to Mail chimp.
