To coordinate and facilitate the operations within the transport office, making sure proceedings comply with all VOSA regulations to enable my clients' customers to receive the best possible service at all times.

You will be a proactive member of the team responsible for improving both your own and the teams’ productivity, efficiency, quality levels, problem-solving and cost performance, whilst acting as the communication and interface between the transport teamand drivers.

**Financial/Commercial**
- Set and achieve the agreed Budget in conjunction with Transport & Warehouse Manager
- Issuing of purchase orders.
- Passing of subcontractor’s invoices
- Guide and support in transport admin and drivers with regard to working toward cost efficiencies in the transport division
- Administration of the driver’s wages/expenses.
- Final passing/issuing of Purchase Orders

**Operational**
- Arrange any repairs that have arisen from the daily defect reports and sign reports on the defects completed.
- Arrange the service schedules (6 weeks PDI and 8-week service schedules and keep accurate records of the same.
- Accurate weekly filing and archiving of maintenance/defect reporting paperwork.
- Make sure stock items such as bulbs/lights/lenses/airline etc are available on site for immediate repairs.
- Arrange all HGV driver's TACO analysis and production and administration of all infringements arising from the analysis
- Reporting and administration of all transport staff’s holidays/sicknesses and reporting accurately every month to the HR section.
- To oversee and allocate the driver's work.
- Production of the monthly invoicing.
- Daily debriefing of the drivers.
- Production of the driver’s notes and associated paperwork.
- Liaising with the customer’s ref deliveries and collections.
- Arranging of agency workers.
- Being proactive with the team’s goals in mind.
- Good effective communication.
- Observe safe working practices and follow H&S policy.
- Collect all relevant information in an accident if it is likely that the insurance company will be needed
- Maintain and build working relationships with both existing and new Customers/Clients.
- Review of operating procedures update and contribute to improvements and working practices.
- Develop external and internal relationships.
- Deal with any staff issues that occur and be able to hold disciplinary meetings, if required.
- Review Staff Training to meet Customers’ requirements
- Collate all management information in a timely manner for both the operational and administration teams.
- Provide daily, weekly, and monthly accurate reports and statistical information for internal departments relating to the day-to-day/week to week/month to month running of the Transport Operation and Transport Administration function.
- Engender a "can-do attitude" with the Transport Personnel.
- In carrying out the role, you should ensure your own safety and the safety of others who could be affected by your actions or conduct.
- To ensure compliance with mandatory, obligatory processes and agreed good practices in operation
- Responsible for the monthly checks and balances on a monthly basis in conjunction with the Transport & Warehouse Manager

**Transport**
- You must also adhere to the company health and safety rules, policies and procedures.
- Oversee and develop the processes and procedures by which the Transport Division function/operate.
- Ensure that the team give the best possible service to our customers at all times. As the Manager, you will be leading by example.
- Manage work and labour allocation (with the assistance of the team members) monitor and control individual operator performance and achievement.
- Monitor and control attendance and conformance to Company rules and standards for all of the team. Where necessary take appropriate disciplinary action.
- Develop and initiate improvements to work processes, and methods of working, aiming at continuously improving efficiency and service levels and working conditions.
- Responsible for the PDR process for the team and the development of the team with the objective to get a multi/cross-functional team.
- Encourage and facilitate the involvement of all the team in the process of continuous improvement. Oversee the team arranging repairs of defects to vehicles.
- Oversee the team arranging the servicing of the vehicles using the appointed Garages, using the planners.
- Updating the insurance declaration forms and claims.
- Effective teamwork and support of the other team members
- Effective communication
- To be the O License Holder and the point of Contact for the Transport operations at Bradford and Manchester Airport.

Whilst these are the usual and regular elements of the role they may change depending on the need of the business.
