Galleries Contract Administrator

About The Role***
As the Contract Administrator at The Galleries, Washington you will oversee the effective administration for the OCS hard and soft services team to support the daily operations on site. You will facilitate and maintain all appropriate tasks below to help support financial, HSQE, HR, site and contractual compliance.
You will report directly to the Soft Services Manager (Regional Operations Manager in their absence).
**Duties / Responsibilities-**
Some of your duties may include:
- Raising of PO’s/invoices/financial processing within OCS
- Maintaining a financial tracker to assist with the management of budgets
- Supplier management (ad-hoc request only)
- Assisting with and creating all KPI data
- Liaison with payroll ensuring all staff data/information is correct
- Ensuring compliance folders are up to date
- Ordering of stock for all OCS Services
- Maintain all HSQE documentation - Risk Assessments, COSHH, Method Statements, Posters
- Providing assistance with all HSQE audits and compliance
- Maintain the site training matrix and individual files
- Booking of team courses and training
- Systems administration: TimeGate, MyView, E-logbooks etc
- Regular liaison with OCS and LCP HR, HSQE, Learning and Development, Finance. Procurement teams etc
- Representing OCS and LCP when dealing with any on site incidents
- Any duty that is deemed a reasonable request by OCS/LCP Management
- Championing site/staff/welfare initiatives
- Successful liaison with all OCS support functions.
- Assisting with any management information deadlines required by OCS and the client.
- Report into the site OCS Soft Services Manager.
**Education / Qualifications -**
- First Aid
- IOSH, nice to have
- OCS relevant E-learning modules
**Skills / Knowledge Required -**
- Strong communication and interpersonal skills
- Providing flexibility when required and to be punctual at all times
- Confident
- Perform under pressure
- Competent in use of Microsoft Office and general IT
- Committed and reliable
- Outstanding organisational skills
- Proactive approach to our service and offering ways to improve the services and/or H&S on site
- Ensure that the OCS and client core values are reflected positively through your actions.
- Maintain a high level of personal presentation and conduct.
