We are currently looking for an Office Secretary / Administrator to join us in Lytham on a permanent, full-time basis.

The Role
As our Office Secretary / Administrator, you will carry out a varied role and be a point of contact for numerous office matters. You will support our directors with secretarial and administrative tasks and a play a central role in supporting the smooth running of an office building, workspace and reception. This includes overseeing one member of part-time reception staff and covering reception 2 days a week.
After undertaking initial in-house training, you will help to manage our Regional Director’s diary, organise meetings, take minutes and process paperwork such as HR (e.g. holiday and sickness records), Office Health & Safety paperwork and documents for signing, filing and distribution.
You will also help with planning and preparation for quarterly Regional Board Meetings, which includes collation of meeting packs, ensuring the board room is prepared, refreshments organised and notes are taken if required.
**Additionally, you will**:
- Support Sales and Customer Care dept administration if required
- Manage information on our HR system and construction management system (COINS)
- Provide welcome and office induction for new starters
- Office health and safety co-ordination including co-ordinating training as needed
- Be an initial point of contact Head Office IT department
- Ensure supplies of stationary items, inks and toners, etc.
About You
To be considered as an Office Secretary / Administrator, the most important thing is that you are a trustworthy and motivated individual with a willingness to learn You will also need:
- To be IT literate, with a working knowledge of Microsoft Office
- Good interpersonal and organisational skills
- An understanding of confidentiality
