Bookkeeper / Administration Assistant

**Job Title: Senior Administrator**

Mars Space Ltd (MSL) is a SME established in 2007 and based in Southampton, UK, working in the aerospace propulsion. MSL is currently undergoing a multi-million-pound laboratory facility upscaling, such that MSL now boasts one of the largest EP testing facilities within the UK and Europe. Customers encompass all the major international players including the UK Space Agency and the European Space Agency.
For this position we need a person able to multitask a variety of administrative duties. Reporting to the accounts manager and the directors, you will be responsible for the bookkeeping and take care of general administrative and secretarial matters.
**Person Specification**
**KEY DUTIES AND RESPONSIBILITIES**
- Liaise with technical dept. and company management on all administrative matters
- Timely and accurate processing of orders, delivery notes, forms, bills etc. onto system
- Raise order acknowledgements & pro-forma invoices
- Prepare and manage customs forms and procedures
- Manage postal and couriers
- Answer calls and deliver information
- Update & maintain all internal administrative documentation in safe storage
- Update & maintain the supplier and customer database with latest order/payment information
- Perform small payments using the available cash deposit or company credit card
- Manage employee reimbursement forms and provide/authorise payments depending on amount
- Post the day-today transactions to the company ledgers (bookkeeping)
- Update & maintain the assets ledger
- Interact and support the company accountancy management on economic analysis, forecast and preparation of the end of year balance sheets
**Essential Skills & Experience**
- BA in Accountancy (required)
- High level of accuracy and attention to detail
- Trustworthy and discreet when dealing with confidential information
- Ability to multitask, prioritise and manage workload effectively
- Excellent skill on bookkeeping
- Ability to work with a double entry ledger accounting system
- Experience in preparation of balance sheets
- Ability to manage payroll
- Experience of costs and financial control
- Competent IT skills, particularly proficiency with spreadsheet software and use of Word, Outlook & Excel
- Good time management and organisational skills
- Good communicator
