**Summary**:
- The Privy Council is the mechanism through which interdepartmental agreement is reached on those items of Government business which, for historical or other reasons, fall to Ministers as Privy Counsellors rather than as Departmental Ministers.
- The Privy Council meets at least nine times a year (often more) in the presence of The King, who gives his personal approval to all Orders in Council. Meetings are presided over by the Lord President of the Council, who is the Ministerial Head of the Office. Each meeting is unique and the business can vary widely from month to month.
- The Privy Council Office (PCO) is the Secretariat to the Privy Council. It is responsible for delivering all aspects of Privy Council business, including arrangements for Privy Council meetings; managing casework relating to the Privy Council’s prerogative and statutory portfolio; and administrative formalities connected with all appointments of new Privy Counsellors; Ministerial appointments; Royal Charter matters; Royal Proclamations; the approval of Channel Islands legislation; and the appointment of High Sheriffs in England and Wales.
- PCO substantive business includes a major role in regulating certain professions, both through statutory bodies such as the General Medical and Dental Councils etc, and through the Chartered Institutions, such as the Institute of Chartered Accountants, Royal Institute of Chartered Surveyors etc. There are some 1,000 Chartered bodies, and any changes to their governing instruments (their Royal Charters and the Bye-laws) require the approval of either The King or the Privy Council.**Job description**:
This is an exciting opportunity to provide high quality administrative and records management support at the heart of Government.
Reporting to the Casework Manager, and working closely with other Privy Council Office colleagues, you will be part of a close-knit, specialist team with a reputation for excellence. Your workload will vary from day-to-day, but a typical day might include providing administrative support to the Casework team, identifying records to be retained by the National Archives, monitoring the General Enquiries inbox, or even assisting with preparations for the Privy Council’s monthly meetings with The King.
The high-profile nature of the role requires a very high degree of accuracy and exceptional customer service. The postholder will also need to be able to prioritise a busy workload efficiently and build effective working relationships between the Privy Council Office, its clients, the Royal Household, Parliament and other government departments.
As this role currently requires frequent and regular access to paper files, there is an expectation that, although hybrid working is possible, the successful post-holder should expect to be working at least a few days each week from the office.
**Responsibilities**:
- Records Management- Under the supervision of the Casework Manager, maintaining files and other records required by the Casework Team, including creating and maintaining electronic folders.
- Assisting with the records management process, including working with The National Archives and Cabinet Office colleagues to identify records for destruction, retention or permanent preservation.
Business Support- Assisting with the administrative processes related to the issuing of Orders, Charters and Proclamations.
- Assisting with the High Sheriffs nomination process, preparing first drafts of all letters, Warrants, gazette and press notices in advance of the November Appointment Ceremony and the March Privy Council meeting.
- Assisting with the administrative processes related to Privy Council Burial Orders.
- Logging and, where required, undertaking preliminary checks of paperwork received from clients.
Office Management- Supporting the Secretariat Business Manager in arranging and preparing for the monthly Privy Council meetings, including assisting with the preparation and issuing of Summonses; forwarding papers to the Lord President and Buckingham Palace; and arranging transport.
