Office Administrator

Based in the tranquil grounds of Long Ditton Cricket Club, we are looking for someone to support the efficient day to day running of our lovely pre-school. This role will be hybrid, with flexibility to work from home, alongside time at Muddy Puddles. Hours are term time ONLY.
Duties include:
Maintain accurate and confidential staff, children and parent records.
Prepare weekly registers and weekly risk assessments/nappy charts/checklists/staff timesheet.
DBS checks for new staff.
Update parent noticeboard when required.
Input attendance onto software half termly.
Dealing with admission enquiries, arrange showarounds, manage 'admission enquiry' spreadsheet.
Maintain, organise and develop office systems and deal with all basic operational enquiries.
Fortnightly newsletter/photos.
Responsible for all new starter admin e.g. input into Kindersoft, prepare folder/peg/self registration labels.
Prepare and manage care plans.
Management of general employee and managers administration, escalating to the Manager and/or the committee when required.
Update all Muddy Puddles social media.
Organise admin related to parent consultations/open evenings.
Answering the phone.
Attend staff meetings, take minutes.
Maintain records and create reports in order to support the management team in continually improving operational efficiency.
Ensure the maintenance of accurate records and enter any register changes efficiently.
Follow the organisation's policies and procedures, whilst at all times complying with data protection legislation, for example, shredding removal.
Provide a high standard of customer service to external agencies e.g. Action HR, Kindersoft, SCC, Playball, Cool Milk etc..
In addition to the above duties, we are looking for someone who would be keen to potentially undertake the following in due course, alongside additional hours: Preparation and distribution of half termly invoices (and responding to subsequent queries), Termly organisation of funding forms and input into the fee portal, Prepare and manage care plans, SEND admin (including communications with SCC SEND support team) and support SENCo (weekly meeting), Maintenance and updating website, Update all Muddy Puddles social media, Liaise with schools/nurseries re: transitions.
