**Summary of Position**:

- To welcome visitors and patients to OSD and to assist them in accessing the appropriate service or healthcare professional, in a courteous, efficient and effective way.
- Maintain a visible presence and be pro-active in communicating with patients, doctors and other members of the clinic team.
- To undertake a variety of administrative duties including those associated with billing and payments, to ensure the smooth running of the clinic.

**Your responsibilities will include**:

- Ensure that an effective and efficient reception service is provided to patients and any other visitors to the clinic.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments as required.
- Receive and make telephone calls as required. Provide a full messaging service including diverting calls and taking messages, ensuring accuracy of detail and prompt appropriate delivery.
- Process and distribute incoming and outgoing mail, filing and retrieving paperwork and photocopying and faxing as necessary
- Enter data onto patient computer records as required and ensure data accuracy at all times. Ensure that all new patients are registered onto the computer system promptly and accurately, supporting clinical staff with the registration process as required.
- Undertake duties in relation to patient billing including preparation of treatment costings, invoices, communicating with patients and taking payments.
- Maintain patient confidentiality at all times.
- Ensure the appropriate ordering of stationery and supplies
- Make and serve refreshments, ensure the kitchen is kept clean, and tidy the waiting room in turn with other staff in order to maintain a safe and tidy reception area.
- Open premises at the start of the day when first to arrive and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is secured, internal lights are off.
- Carry out any other supporting administrative duties as requested including receiving payment from patients, issuing of receipts and banking of same.
- Undertake any training required by the Clinic including all mandatory training requirements.
- To work flexibly as part of the team and to undertake any other relevant duties as required in the post.
- Good standard of general education with GCSE (or equivalent) including English and Mathematics.
- Experience of working in a public reception environment.
- Experience managing face to face and telephone enquiries of the public/patients.
- Experience of using electronic patient record systems
- Ability to engage at all levels with patients, Consultants and senior management
- Strong customer service skills
- Good numeracy, keyboard and computer skills.
- Excellent communication skills both written and oral.
- Ability to prioritise workload
- Ability to work as part of a team
