The post holder will provide a comprehensive administrative support service to the Directorate Management Team across the Medicine Division, to include arranging meetings and minute taking.

The post holder is responsible for ensuring a comprehensive centralised administrative and clerical service is provided to the divisional management team and will manage a small team of staff who will deliver this.

The post holder is responsible for the delivery of an efficient professional, proactive and efficient service and ensure that staff undertake their work in accordance with departmental Standard Operating Procedures and Trust Policies.

The post holder will act as the first point of contact for enquiries for service users and external stakeholders.

Line manage a small administration team. This involves generic duties such as monitoring sickness, leave requests and making sure to conduct regular appraisals. Also coordinating the team to help manage and assign incoming tasks. Also helping develop the service with the support of the general manager. This will involve becoming familiar with existing working patterns and analysing if any potential room for further improvement or new ideas.

Supporting set meetings which include Medicine Board, Medicine SMT and the divisional workforce panels. This entails finalising agendas in good time, producing an accurate account of the meeting via minutes or using a designated action tracker.

To help support the doctors’ rotations which happen in fixed points during the year. This involves working closely with the rota team to organise speakers, create and agenda and help facilitate it’s running on the day.
