**The Role**

Glean are looking for an enthusiastic and highly organised Administrative Coordinator to join our rapidly growing team We are looking for an expert multi-tasker with a keen eye for detail to join our Admin Support function, to provide a range of hands-on administration throughout the entirety of the sales process, all whilst keeping an eye out for opportunities to improve and optimise processes, to help the function run as seamlessly as possible, and to deliver best-in-class service to all customers of Glean.

The Administrative Coordinator role will be suited to someone who can adapt to an ever-changing workload, and offers variation and challenge that you may not find with other administrative positions - if this sounds like it’s suited to the way you like to work, then you could be just the person we’re looking for

**Key Responsibilities for Administrative Coordinator**

Support
- Provide a level of support to internal and external customers and understand escalation routes
- Support with purchases, processing orders, providing quotes and answering enquiries
- Maintain and build strong relationships

Processing
- Generating and issuing invoices
- CRM management to ensure accurate subscription information is maintained
- Setting up institutions with the correct product and account, ensuring a seamless onboarding journey
- Issuing licence agreements and order confirmations
- Processing orders and keeping the customer updated throughout the process
- Maintaining accurate billing information

Vendor Management
- Update and maintain vendor information
- Regular audits to ensure accuracy
- Working closely with the Legal team in completing Vendor paperwork

Quote Management
- Creating and maintaining quote templates
- Issue quotes at renewal
- Providing quote approval

**Person Requirements**
- Administration and customer support experience - minimum of 1-2 years experience in a similar role
- Highly organised with excellent attention to detail
- Self-motivated, with the ability to proactively manage your own agenda and work with mínimal supervision
- Highly adaptable and able to manage an ever-changing workload
- Works effectively to deadlines and competently works on multiple tasks simultaneously
- Genuine desire to support the function with continuous improvement
