At Structa our purpose is "to develop and harness our engineering expertise, to create a sustainable legacy for those who construct and inhabit the built environment".

We are a multi-disciplinary engineering consultancy, working for private and public sector clients, on projects ranging for bespoke homes through to major regeneration or new housing schemes for leading housebuilders or commercial clients.

We are looking for a **Business Support Manager** to join our team in Swindon.

In this role you will be responsible for the day-to-day administrative support of the local technical teams, providing a link between these teams and Business Support Services.

**Your duties and responsibilities will include but no be limited to**:

- Supporting local Partners and senior technical staff to ensure smooth running of their teams.
- Proactively managing project registration, opportunities, client enquiries and project record accuracy.
- Arranging meetings as set out in Project Management Procedures (PMP).
- Acting as a key point of reference for any Deltek or PMP queries from the technical staff.
- Identifying opportunities for process improvements and act as a local champion for implementing changes identified and agree within the Process and Systems Committee.
- Acting member of the Business Development and Marketing Committee.
- Supporting conversion of new enquiries and communicating with Clients on behalf of Partners and other technical staff.
- Drafting proposals documents for review.
- Creating and maintaining CVs and Project Sheets.
- Assisting in bid response preparation and tender responses.
- Preparing new project announcements for SharePoint, LinkedIn and other communication channels.
- Managing client Feedback process and provide analysis of results to COO.

**You will also be involved with**:

- Supporting the technical teams’ adherence to the Quality Management System.
- Conducting internal project audits to demonstrate compliance and assist colleagues with completion of outstanding nonconformities and observations.
- Assisting with, and take part in, the annual External Audit.
- Identifying improvements and manage QA documentation.
- Documenting new and improved procedures.
- Maintenance of local SharePoint pages.
- Scheduling invoices on behalf of Project Managers.
- Producing draft invoices for distribution to Project Managers.
- Liaising with finance on project details and local client information.
- Controlling petty cash and keeping records of expenditure.

**Office Support, HR and Health and Safety Responsibilities including**:

- Acting as first point of contact for visitors and callers.
- Management of incoming post, deliveries and filing.
- Organising in-house and external training.
- Arranging and carrying out inductions for all new starters.
- Supporting interviews and in-house recruitment events as and when required.
- Undertaking the roles of Fire Warden, First Aider & Health & Safety representative.

**Qualifications and Experience**:

- Educated to a degree level, or equivalent educational or work experience.
- Excellent level of ability in use of general computer software: Microsoft Office, Adobe Acrobat etc.
- An understanding of or exposure to proposal writing.
- Experience or interest in marketing, website or social media management.
- Experience working in professional services is desirable.
