**Job Summary**

Working within the Collections Registration team at IWM, you will manage and work alongside teams across IWM in delivering exhibitions, and other key projects. You will have a thorough knowledge of managing transport, insurance and indemnity requirements, display and environmental conditions relating to both loans in and loans out. This also includes knowledge of the legal requirements and risk management processes relating to both loans in and loans out.

You will be responsible for managing the loans processes from start to finish, with oversight of the management of loans into specific sites and galleries across IWM. You will guide colleagues in their awareness and understanding of best practice standards associated with museum collections registration, providing consistent advice to colleagues across all sites.

You will work with the Senior Registrar in developing standards and ensuring that all relevant statutory responsibilities are maintained in the work of the team. This role is not only key to ensuring best practice within the team, but also ensuring colleagues across IWM are aware of the centralised requirements involved in bringing loans into IWM, and also ensuring loans out are managed effectively.

You will have experience of working as an assistant registrar or registrar within a major museum or gallery with proven experience in dealing with contracts, other legal agreements/ issues and ethical considerations.

The ability to work flexibly is a key requirement for this role.

The postholder will work as part of an effective, forward thinking and pragmatic team.

The role is based at IWM London, but you may be required to travel and/or work at all IWM sites on occasion.

Your main duties will include:

- Management and responsibility for administering loans in and/or loans out. This includes the transport requirements of both loans in and loans out. A knowledge of national and international legislation, as well as import/export requirements is required.
- A thorough knowledge of the Government Indemnity Scheme is required, ensuring that the requirements of the Scheme are in place for all indemnified material. Delivering a schedule of renewal for indemnified items and arranging GIS cover. A good understanding of insuring museum objects commercially is also required, and a knowledge of how loans from national museums are managed.
- You will ensure that the display and environmental conditions for loans are understood and met by IWM, working collaboratively with colleagues across IWM to drive forward any necessary changes and improvements. You will have a thorough understanding of writing and assessing facilities data for both loans in and loans out and resolving issues.
- The post holder will delegate work to and supervise (line manage) the assistant registrars and /or loans assistants in relation to the project(s) they are managing. Assistant registrars/loans assistants will be allocated according to the need and priority of the project. The Registrar will be responsible for ensuring deadlines are met.
- A good level of project management skills will be required to drive key projects forward and problem solve, presenting solutions for the resolution of complex issues. A proficient understanding of dealing with legacy issues relating to loans in and out.
- Managing renewal processes, ensuring conditions are in place, and procedures followed by the team.
- Responsibility for building and maintaining key relationships with internal and external stakeholders.
- Occasionally, act as courier, accompanying items to national and international exhibitions.
- Providing information for management reports to the Senior Registrar and working with the Senior Registrar to enhance systems and processes in order to streamline tasks.
- Acting as a source of advice, ensuring that the advice given on behalf of the team is consistent with the overall knowledge/skill set and values of the team.
- Finance administration including invoicing.
- Supporting the Senior Registrar and/ or Collections Registration team in any relevant tasks or activities associated within its remit.
- Working with colleagues across IWM, e.g., exhibitions (e.g., exhibition and productions managers and technicians) and collections managements teams (e.g., conservation, movement, and storage teams) regarding the overall delivery and scheduling of loans in and out.
