Exciting opportunity to join a busy department within a Facilities Management Company based in Glasgow. We are urgently looking for Fleet Administrators to join on a permanent basis working 37.5 hours a week, Mon-Fri, 09:00 - 17:00 (TBC).

In the role, you will liaise with operations colleagues, external contractors and engineers to provide administrative support to the Transport Department. Ideally you will have experience in an administrative role, have a strong personality as the ability to work in a fast paced environment.

You will be trained on the companies bespoke systems to aid you with your duties, once fully trained, you will have the opportunity to work hybrid. The office is an open plan work space, and has a family feel to it.

Daily tasks and reponsibilities include:

- Analyse supplier invoices prior to invoice payment to ensure charges comply with authority levels
- Arrange for company fuel cards to be cancelled, ordered and accessible to colleagues.
- Ensure company bespoke fleet administrator advert is updated to reflect current and accurate vehicle positions.
- Ensure telephone calls and enquiries are dealt with in a timely, efficient and professional manner.
- Liaise with engineers, colleagues and garages alike to authorise repairs.
- Organise and arrange reports for correspondence to be sent to colleagues. Monitor report history for relevant documentation to be forwarded to companies.
- Place rental booking requests with suppliers and monitor mechanical/accident repairs.
- Provide administrative support to all divisions of the company operating vehicles.
- Update departmental holiday/sickness records.
