**Purpose of the role**

Reporting to the Head of Corporate Services (HoCS), you will support the IMA's Health and Safety activities, promote and implement Wellbeing initiatives, and ensure the smooth operation of Facilities management. Additionally, this role is responsible for supporting the development execution of the IMA's Estates strategy, ensuring that our physical spaces meet the needs of our workforce and align with our overall business goals. A key aspect of this role is to champion and drive Sustainability efforts, ensuring that the IMA is environmentally responsible, sustainable and aligns with government greening commitments.

**What will you be doing?**

You will be working closely with the Head of Corporate Services, supporting them in developing and implementing organisation-wide corporate functions including:
**Health, Safety & Wellbeing**
- Conducting Health and Safety risk assessments including monthly floor walks
- Developing and implementing control measures to reduce risk
- Writing Health and Safety reports and keeping the risk register updated
- Maintaining the organisational health and safety and facilities framework, reporting on the overall compliance in these areas
- Reviewing and updating office handbook and induction processes as required, in line with relevant H&S legislation
- Maintaining and communicating a ‘forward look’ of activities that support staff wellbeing, including initiatives run by our sponsoring body (MoJ)

**Facilities**
- Being the main point of contact for all facilities related matters, liaising with the IMA’s landlord to ensure our base of operations is safely maintained.
- Responsible for liaising with the site security team, managing access to the building parking facilities and the visitor's process
- Responsible for coordinating contractor work at the IMA in relation to Estates management.
- Support the HoCS in ensuring the IMA’s base of operations aligns with our hybrid working requirements

**Estates**
- Act as a liaison between the IMA and MoJ Estates directorate on current and future plans for our base of operations, attending meetings and taking forward actions as required.
- Liaise with the IMA’s people and inclusion forums to ensure our current and future estates needs deliver for our people

**Sustainability**
- Support the IMA’s sustainability agenda, by developing action plans that help it meet government greening commitments.
- Liaise with the IMA’s people and inclusion forums to ensure sustainability
- Liaise with other government departments to promote our sustainability agenda as required by our annual plan and/or sponsoring body (DEFRA exemption)

**Other**
- Maintaining a record of mandatory training, monitoring and reporting on completion rates.
- Attend and contribute to group meetings as required, including presenting reports and updates on areas of responsibility.
- Support the HoCS in the review and development of policies covered in your areas of responsibility.
- Maintain and communicate a ‘Forward Look’ of activities to ensure all necessary work, such as policy reviews, are undertaken in a timely manner.
- Ensure data from your areas of responsibility is stored and processed in line with IMA policy and GDPR regulations.
