Bank Ward Clerks (Band 3) Paediatric Ward

An opportunity has arisen for Ward Clerks to work on one of our busy wards. You would be required to rotate between the various children’s wards, providing support where it is most needed.

Duties will include assisting with patients’ documentation and notes, photocopying, filing, dealing with telephone enquiries, making appointments and liaising with medical and nursing staff. Basic computer skills would be essential.

You must be enthusiastic, have a flexible approach to work and enjoy working as part of a team, must be able to work within a children’s environment.

Working hours will be flexible weekdays and weekends

To contribute, as part of the team, in providing clerical and administrative support within Children’s Services.

To provide high quality, administrative services to a multi-disciplinary team of professionals in order to facilitate the effective and efficient delivery of services

**MAIN DUTIES AND RESPONSIBILITIES**:
COMMUNICATION
- On a day-to-day basis, to provide a full range of administrative support services to Children’s Services. This will involve receiving and providing sensitive and complex patient information and ensuring the CPIS - NHS spine is viewed on each patient.
- Be conversant with the roles of all staff and their relationships with internal/external organisations.
- To input data onto computerised systems, including, IPM, Evolve, ICE, Extramed, NHS spine, Microsoft Outlook, scanning and printing.
- Maintenance and preparation of patient records, changing and adding to waiting list. Making appointments, processing new referrals and adding/removing patients from the open access system.
- Train junior clerical staff.
- Deal with fault reporting, servicing and maintenance of office and patient equipment.
- Report issues to Estates Team, as required.
- Be responsible for regular health & safety checks, as instructed. Maintaining ward station area and ensuring audio/visual aids are appropriate.
- Liaise with Trust departments regarding telephones, computers etc.
- Ensure new referrals, discharges and patient activity are up-to-date on IPM.
- Send out appointment and discharge letters (already formulated) and communicate with other services, maintaining patient confidentiality at all times.
- Sending out team updates and other information to carers as and when required.
- Maintain supplies of essential paperwork.
- Archiving of paper records.

BUDGETARY RESPONSIBILITY
- Maintain and monitor clinical equipment and stationery supplies, order stock (as appropriate), check deliveries, put away stock and report discrepancies.
- Researching resources in timely and cost effective manner.

HUMAN RESOURCES
- Preparation, distribution and implementation of training information for junior clerical staff
- Maintaining own professional development and requirement to take part in Appraisal and training programme, as required, to fulfil duties of the post.
- Develop self to continually improve performance, undertake development activities, as necessary.
- Provide mentoring to the junior team.
- Provide cover and resilience within the Senior Ward Clerk team

RESEARCH & DEVELOPMENT ACTIVITY
- Assist with audit data.
- Complete staff audits, as required.
- Research and supply information as requested

ANALYTICAL & JUDGEMENTAL
- Prioritise workload and resolve conflicting demands using own judgment to prioritise.
- If applicable, monitor waiting lists in a timely manner.
- Future planning for clinics and patient appointments.
- Flexibility of working patterns to meet the needs of the service

PLANNING AND ORGANISATION
