Executive Assistant

This role is critical within the business by assisting the key executives with scheduling, organisation, and administrative tasks.
In particular the MD requires a person with strong organisational skills, ability to use their own initiative, who will assist him in advancing the company initiatives and goals.
The EA will filter and attend to the day to day functions to allow the MD to focus on the leadership and strategy functions of the business.
**Duties will include**:
- Any personal matters required by the Chairman and M.D.
- Assemble and prepare work for the M.D. based on priorities.
- Draft, review & send communications on behalf of the M.D.
- Keep MD advised of time-sensitive and priority issues and ensure appropriate follow up.
- Facilitate meetings for Chairman, M.D. senior management team, compiling of meeting material, documentation, reports, minutes and agendas, etc.
- To produce reports, communications, presentations on behalf of the business.
- Updating and maintaining filing systems for easy access to documentation and links to related information.
- Facilitate Management diaries including scheduling of meetings and exercising discretion in allowing time for project work and planning.
- Coordinate travel and accommodation.
- Undertake projects and research, which might require contact with external agencies as required by the M.D.
- Seve as a liaison between the Chairman, MD. Staff and public, which includes receiving and screening phone calls, answering calls and directing them appropriately for resolution.
- Other additional duties as assigned from time to time to support other departments and Managers as required.
- Working with the company external HR department to ensure due processes are met.
**Person Specification**:
- Professional with the confidence to be able to engage with staff & external parties on behalf of the Management.
- A minimum of three years’ experience working in a medium sized family business with commercial background, supporting at a senior level in a PA/EA capacity.
- Highly organised, with good time management skills, ability to problem solve & multitask under pressure.
- Ability to pay attention to detail.
- Excellent written and verbal communication skills.
- Ability to work with Managers and staff at all levels while maintaining confidentiality.
- Strong Microsoft package skills, specifically MS Office, Excel and PowerPoint.
- Personable and approachable with excellent interpersonal skills and has a resourceful can do attitude.
**What’s in it for you?**

- Hours of work: 09.00 - 17.00 (additional hours may be required, as necessary)
- In office role, however open to hybrid after initial probation
