**Job Purpose**

The Executive Assistant role will support the Product Line Director (PLD) of James Fisher Renewables as well as providing support to the wider JFR Senior Leadership Team (SLT).

The role is dynamic and varied with the principal purpose of providing efficient, effective and professional support to the PLD ensuring smooth operations and the optimisation of time management. This will involve a broad range of tasks to facilitate the day-to-day running of the business and the longer-term strategic planning activities.

The role will also drive and orchestrate selected strategic projects, such as development and implementation of monthly management progress trackers, helping to ensure the business is prioritising according to targets.

**Principal Accountabilities**

The Executive Assistant has the following primary accountabilities:

- Manage the PLD’s calendar, overseeing a complex calendar on a daily basis, resolving any scheduling issues
- Develop and implement the management yearly cycle, including definition of meetings required, agendas, preparation, facilitation, consolidation, challenging the content constructively to ensure efficiency and focus on key targets for the business
- Support the smooth preparation, completion and follow-up of any meetings, particularly SLT meetings and off-site strategic meetings
- Help to manage sensitive matters with a high level of confidentiality and discretion
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, and other documents in support of organisational objectives
- Arrange travel and accommodations for the PLD and other SLT members, preparing expense reports as necessary
- Structure SLT meetings to ensure focus on objectives and lessons learned.
Ad hoc support as requested by SLT
- Take minutes of meetings, ensuring actions are followed up
- Screen incoming requests; taking and delivering accurate messages; responding to requests by gathering and providing information
- Assist in preparing and managing presentations and decks
- Conserve the Management's time by reading, researching, collecting and analysing information as needed, in advance
- Complete ad hoc projects as assigned
- Monitor and support where necessary with training, induction process and HR related tasks
- Coordinate office space and manage office facilities
- Coordinate travel itineraries of the Leadership Team as required
- Manage both incoming and outgoing correspondence (both written and verbal) as necessary
- Assist with internal communications/briefings supporting any formal communications to ensure all staff receive in a timely manner
- Ad hoc support as requested by SLT

**Qualifications and Experience**
- Extensive related experience required in working as an Executive Assistant role
- Extensive experience in administrative support
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Exceptional team player with the ability to communicate effectively and professionally, building rapport with people at all levels in a confident, professional manner
- Strong business sense with the ability to decipher priorities and make sound judgment calls when needed
- Experience of working with sensitive information
- Highly personable with strong stakeholder management skills
- Integrity of the highest level
- Ability to work to tight deadlines
- Organised and focused with excellent attention to detail
- A self-starter who can use their own initiative and manage their own workload
- Ability to work to tight deadlines and work under pressure to achieve time bound goals but also able to successfully balance this with progressing important but less urgent work
- Experience in organising both domestic and international travel logistics
- Ability to handle high pressure, intense situations calmly
