Administration & Welfare Officer

Choices International is looking for an enthusiastic and experienced individual to join our team for our exciting summer sports residential programme. The role is based in London and the individual will be required to work on site.
The Administration & Welfare Officer (AWO) is responsible for the day to day administration of the campus. Ensuring that procedures are followed by compiling documentation and records that comply with British Council standards at all times.
Duties will involve supporting the Centre Manager as well as the activities and teaching staff and acting as pastoral leader for all students during the programme.
You will oversee administrative duties and take responsibility for supervising care, safety and wellbeing of the students at the campus, whilst maintaining school rules, policies and procedures.
The AWO will also, be expected to maintain detailed reports of the programme and oversee safeguarding duties. The AWO must have an awareness of all aspects of day-to-day duties at the campus and be willing to address situations whenever they arise.
**Main Duties will include**:
To be responsible for and manage all the documents and necessary protocols for the British Council inspection and to ensure all the procedures are the correct ones for the success of the mentioned inspection in conjunction with the Centre Manager and Coordinator of Activities.
To assist the Centre Manager to oversee the management of all aspects of the centre.
To maintain a safe and friendly environment for all students and staff. This includes making sure the centre operates within the Health & Safety guidelines as set out by the British Council.
To manage student discipline, making sure that rules are abided by at all times and according to Choices International Guidelines and Conditions.
To take responsibility for all campus registers at the residence, activities and excursions.
To liaise with Head Office regarding all incidents and accidents and make sure they are logged online on the Incident Form as soon as possible and certainly within twelve hours.
To oversee the residential side of the centre, including liaising with the Centre Manager and Coordinator of Activities regarding fire drills, bedtimes and wake-ups.
To manage all office equipment, restocking and organising repairs where necessary, and signing Company property in/out to staff (e.g. keys/telephone/etc).
To ensure all campus records (e.g. incident & accident reports, complaints log, fire drill reports etc.) are kept up to date at all times.
To manage student feedback (distribution and analysis of feedback questionnaires).
To assist with student check-in and check-out, including meeting parents and taking responsibility for collecting passports, travel documents and pocket money; keeping these safe for the duration of the student's stay at the campus.
Ensure the students respect all camp facilities and equipment at all times and be responsible for ensuring the students uphold the programme rules and regulations.
Pay particular attention to homesick students and bring them to the attention of other members of staff.
To assist the Centre Manager and Coordinator of Activities with any Risk Assessment needed for the programme.
Assisting in compiling documentation and procedures to comply with British Council standards at all times and inspections whenever this applies.
Assisting and complying with all the requirements established by the company and maintaining the high standards of the programme.
**Transport**
To organise transport for travel days and also staff going to the airport.
To organise transport for Excursions.
To Liaise with coach companies in regards to lost property etc.

**Essential Criteria**:
- Degree educated.
- Highly organised with excellent time management skills.
- Leadership experience in a residential summer school.
- Experience of working in a British Council accredited centre
- Experience working in a sports and education focused environment.
- Good interpersonal and communicative skills.
- A flexible, pragmatic approach.
- Able to deal well with pressure.

**Working hours**:
