We currently have an exciting opportunity for an experienced Support Secretary to provide clerical support our Community Paediatric Service based at the GEM Centre. The role will also work closely with the wider medical secretarial team.

This is a full time position, working 37.5 hours and will be based at New Cross Hospital.

The post-holder will work as part of a secretarial team to provide a comprehensive support secretarial service to the Community Paediatric Service across the Community Children's Directorate. The post-holder will possess excellent clerical and communication skills, ensuring the highest level of confidentiality is maintained at all times.

Principal duties will include word processing of digital dictation, raising purchase orders for equipment, administration work surrounding patient attendance, responding to enquiries and covering for colleagues during absences. We require a highly motivated person with proven ability to prioritise multiple tasks. You should possess a minimum of OCR 3 (or equivalent) word processing and desirably be a competent audio typist.

Knowledge of medical terminology and PAS is desirable, however training will be available.

- To provide high quality audio-typing and word processing with medical terminology, as required by consultants, junior medical staff and specialist

nurses, ensuring that work is completed in an efficient and timely manner.
- To obtain investigation results and exercise judgement to ensure that medical attention is urgently drawn to abnormal results.
- To plan and organise straightforward activities, some ongoing (i.e. plan rotas and cover; schedules clinics; arranges meetings; manages diaries).
- To ensure all information and messages received from patients, colleagues, clinical and managerial staff are communicated efficiently and

correctly. This can be of a sensitive and complex nature.
- To act up and provide cross cover in the absence of the Senior Secretarial Team, ensuring all duties are completed in an effective and efficient

manner to ensure an optimum service is maintained at all times.
- To communicate non-clinical information with patients, relatives or staff on a variety of departmental matters and procedures (including

appointment times and directions).
- To communicate complicated administrative information to staff from other departments and/or external contacts.
- To exercise judgement when responding positively and promptly to enquiries from patients, clinical staff and other agencies and to analyse

information to resolve problems.
- Respond in a professional and sensitive manner when dealing with confidential issues to patients, relatives and other agencies.
- To accurately create records and update patient related information onto the computerised Patient Administration System (PAS).
- Be familiar and follow Trust and Local department policies.
- Maintain stock levels of stationery and to make orders through the appropriate systems.
- Demonstrates own activities to new or less experienced employees, supervising other members of staff and assist with the training and induction.
- To monitor and maintain information systems.
- To develop databases/spreadsheets, to collate or produce reports on a regular basis.
- To input data onto relevant systems, required to store and retrieve information or to collate and report data.
- May manage some aspects of a project/service.
- To produce minutes of meetings.
- Photocopying, scanning and faxing as required by Team.
- To administrate non-complex processes.
- Be committed to continual self-development and training to meet the requirements and further development of the specialty and participate in

appraisals to agree/revise Personal Development Plans.
- Undertake any tasks relevant to the work of the Children’s Services which develop as a special requirement of the Directorate / Department.
