Health and Safety Administrator

An exciting opportunity has arisen for an experienced Health and Safety Administrator to join a local company working during school term times on a full time and permanent basis earning between £23,000 to £25,000 per year.
**The role is term time (39 weeks and 2 days per academic year) 08:30-16:00pm, Monday to Friday paying between £23,000 to £25,000 per annum.**
**About the role**
To be the first point of contact for all Facilities, H&S and Training related queries. Assisting the Safeguarding and Compliance Lead to deliver an outstanding level of service to the group across these areas.
**Responsibilities**
- Responsible for diarising all property maintenance checks across all bases and ensuring they are carried out on time
- Create maintenance files for each base, containing a list of approved contractors.
- Ensure certificates and checks are maintained I.e., EICR, PAT testing, Gas safety, Fire Safety, Alarm checks etc.
- Preventative maintenance inspections are carried out.
- Arrange surveys such as Asbestos Management, Water Risk Assessments and Lighting protection ensuring any required actions are carried out.
- Manage all contractors conduct whilst on site.
- Responsibility for scheduling and coordinating annual external and internal audits ensuring actions are carried out.
- Manage H&S inbox queries and transfer job requests arising to the maintenance request list
- Manage administration associated with the school’s rental portfolio and relationships with landlords e.g., booking inspections, organising property repairs etc
- Maintain and publish a list of Fire Marshals, Mental health First Aiders and Mental Health Champions
- Manage all supplier relationships orders and payments
- Manage supply of oil to off grid bases, septic tank drainage for applicable bases
- Relationship management for insurance renewals, know expiry dates and obtain quotes
- Work with colleagues when setting up new premises, maintaining schedules are set and essential equipment is purchased such as furniture.
- Ensure leases and any supporting documentation are scanned and mandatory checks for new bases and completed in line with the requirements of the landlord.
- Ensure each H&S and compliance policies are implemented with procedures in place, risks are lowered and added to a safety app.
- Ensure base risk assessment is completed by the Head Teacher
- Responsibility for organising staff inductions including Fire Safety, Health and Safety, GDPR and Safeguarding, via the Safeguarding relevant lead. And mandatory training for new starters is booked via High Speed.
- Responsibility for managing and maintaining the training tracker ensuring that annual/biannual training refreshers are booked and carried out e.g., GDPR
- Responsibility for coordinating the planning of our annual inset days, by meeting with key stakeholders to understand what training is required then planning and coordinating accordingly
- General administrative duties such as answering calls, ensuring rooms are booked and packs where appropriate have been collated and implemented.
**Experience, Qualifications and Skills Required**
3 years+ experience as a HR Administrator/Generalist
CIPD or NEBOSH Certificate
GCSE or equivalent Maths & English
Experience of using a variety of Microsoft software packages (Word, PowerPoint & Excel)
Experience of creating a talent pipeline, identifying skill gaps
Experience of H&S compliance and associated tasks
Worked on a range of small and large projects
